I agree with Ms. Vasavi. By doing that one can save time, money, energy and more importantly confidence of the employee, which is paramount. Cheers Sunder Thiyagarajan

The employee is supposed to either apply for leave or com off before availing it. If the employee does not file app or give intimation for sanction he will be treated as unauthorized absent with consequences. In order to regularise pay cut may be resorted since in the absence of any information she may be treated as 'Absent' from work. The employer hires the person for coming and doing job and for remaining absent. This act of her is a breach of service contract. She is not obliging co by submitting the Application.

Dear Kundale
you are right, U should insist on the leave form. Whether its a leave or com comes later upon acceptance of it. Without a leave application and prior approval it can be treated as LOP as there is no intimation.
After acceptance of leave by the superior / head of the dept. only it can be considered as com or leave.
No intimation - its a LOP

HI SUJATA ji....
HOPE U R DOIng fine. Regarding Com Off it is very simple. The Person/employee worked more days or time only will claim com off. They will have to submit their records for having worked more days or more time against which they may claim the com off in the later satage. The form should be written by the concerned employee and approved by the concerned employee reporting authority. This you enter in the computer or one register / one page for each employee. When the same employee need the com. off she / he shall ought to give the application (not general leave application ) Compensatory leave application and then you / HR Dept. will have record to deduct the com.off from the earlier record. So ask her to give it in writing that she need com off from her credit. This issue become very simple when you explain to her that you will have to maintain the record for more clarity.
OK ! WISH YOU ALL THe best.

After all the suggestions provided by the members here, I further wants to add that you just need to send a mail to this employee along with Cc mark to her immediate boss/supervisor stating that you cant take her request verbally to adjust this leave so she has to apply for this either the hard copy of application form or email.

Second, you must agree the terms that are not in your hand. You are a professional and working under your seniors in a department and bound to obey ther rules according to the policies laid down by the Organization /Company. You not supposed to say yes to her or accept her verbal request for leave adjustment. Be professional, otherwise these little problems can also make you in trouble in future.

Lastly. make this necessary change in Leave Application Form if you are authorised else speak to your senior in this regard also need to make the changes with your Leave Policy for further correspondence of this type that enable you to and other to skip the problems you are having now.

Dear all
We have made 2 type of leave forms...one is leave application form and another is C/OFF form...
The process for c/off is
first employe will fill the both forms.
get his HOD's Signature in both forms.
C/off form will sign and stamped by security officer
then he/she will enjoy c/off...

Dear frnd,

yes,i agree that instead of maintaining separate record for com off just add a column in leave for com off and leave its very simple and easy method to maintain record of employees.
