1. Celebrate every weekend fri/sat for those birthdays during the week

2. IF it is less than 50 staff then celebrate inviting all staff

3. If the company has more than 50 staff, the birthday baby may not know all staff. So invite only 50 from entire office whom the birthday baby may know personally. IF birthday baby knows more than 50 stafff, select the first 50 on lot basis and invite them.

4. We often remind our staff mutliple times and beg them all to assemble in the celebration hall. This casues considerable time delay. Restricting to 50 or less may help saving time for the organisers as well as staff because for a 15 minute celebration, we would wasting one hour for waiting all to come.

5.. Take photos and display in company intranet for the rest to see it

6. Regarding cost cutting, budget a Birthday cost for each staff at the time of joining itself (like how CTC is calculted). Budgeting helps to save the cribbing by finance dept :) when you often go for birthday celebration reimbursement.

The cost effective way:
1-email to all the colleagues, so that everyone knows whose birthday is today.
2- Put the name on the notice board, where everyone passes, it gets the attention of all.
3- Publish in the in house magazine.

At the end of the month u should organize a get together once in a month for all the employee's whom birthday comes in that month.
you should discuss about this matter with your prior person and and invite all senior staff.
It should be well planned and well managed.
if you do like this, you can save your time and cost also and can concentrate on your work well daily.
Celebrating birthday is very iportant event in any org.
so, celebrate birthday of your employees equally.

Hey Vinim,
There is no "HR way" or "Admin way" of celebrating fun. Believe, me the more we link it with something diplomatic, we loose the touch and flavor of celebrating. Have you seen children enjoying birthday....just the balloons with small colorful packed gift is enough for them. Try out simple things and see how much wonders it does. I do remember a similar question was put up at Citehr with wonderful ideas. Give a search on citehr.
All ideas shared are good and you can have the same put UR basket and do them by mixing them throughout the year. Like every month you can plan a different thing.
Take it from me....those simple things, which brings that extra smile on the Birthday boy (girl), is the best way of celebrating the birthday. Mind you, pls do and introduce ideas which you can continue doing every month without any cuts on Budget, later due to whatever reason.

We thought of a Green Idea for this particular problem.
Earlier we used to celebrate the Birthday of employee with Cake Cutting. But having a Cake Cutting ceremony every other day was quite boring and not so exciting for employees.
We decided to stop the Cake Cutting and gifting a Green Plant to the employee on their birthday. Its given with a plastic pot (gift wrapped in transparent sheet) with a small note stating happy birthday and signed by Chairman of the Co.
It was instant hit among employees. Now desks are green and employee take them home as well.
Its cost effective (around Rs.50/- per plant)

For HODS you can make a collage of the department snaps including all the outings, activities held in department and present it to him.
Those snaps would be best memories and can cherish for a long time.

Hi,
You can display the names on a nice display board at the main entrance in the morning and can make a common distribution list including email ids of all the employees and send a birthday mailer every day. If you have some budget then you can also celebrate birthdays of all the employees in the month end.
We also have manpower of more than 900 in our deptt so we send a mailer and display the names every day , which is appreciated by all our employees.

We are doing tha same as Sandee's comment
But somehow, I have found that there is no excitement on those people of the month.
As we do it for a long time and it becomes a normal practice
