HI Janaki,
you can go through the attached excel to get an idea as what sort of basis information related to your existing staff is required for your organization. you can send this format to all the existing staff and get their details filled in and ask them to send it back to you by.. (fix some date to colloct the data), you can also send this format to new hires at the time of induction process.
once you start getting the responses, keep pasting the details in the base excel sheet (employee database).
