Company asked me to reply for a show cause notice for short deli every of a product motor spirit . Please help

Although you have not written the text of SCN, without which exact line of defense cannot be suggested, however as you state it is a case of short delivery of motor spirit. Please check to cover the following points:in your reply:

1. What was the quantity that was ordered by the purchaser, and required to be delivered by the company?

2. Who filled up the container of motor spirit, and whether any one was present to check and certify the quantity that was filled up in the container/containers? Whether the containers were sealed after filling up motor spirit?

3. Who prepared the delivery challan/bill/invoice for the quantity of motor spirit that was to be delivered as per order?Whether anyone checked the quantity that was filled up in the containers at the time of preparing the challan?

4. Who prepared the gate pass for the material i.e. motor spirit to go out of the company's premises/godown and what was the basis of quantity written in the gate pass? Whether anyone checked the quantity that was filled up in the containers at the time of preparing the gate pass?

5. Who was the person deployed to deliver the containers at the destination of the purchaser? Was it a company's worker or was the material sent through some hired vehicle?

6. Whether a receipt was obtained from the purchaser at the time of delivery of containers of motor spirit? Whether any remarks of shortage were written on the challan/receipt/acknowledgment obtained from the purchaser when material was delivered?

7. When was the shortage first reported and by whom?

8. Whether your role is involved at any stage in any of the above activities? If yes, explain your conduct by giving answer to all the points in your reply.
