Biometric devices is a company property. While issue of any company property to the employees, we need to take undertaking from the employees. However, before we take the undertaking, we need to have the following information:

a) Will the devices be issued permanently to the field executives or they will be issued the devices when they resume their duties and return the devices on completion of their duty?

b) What is the definition of "mishandling"? How to define "accidental damage" and "negligence"? Are there labels or seals that can detect tampering of the device?

c) What is the cost of the device and has it been insured? Whose liability will it be if the device is lost?

d) On what account the misuse of the device can take place? Will misuse of the equipment become cause of customer dissatisfaction?

e) Can field executives retrieve the data stored in the device? If yes, how to detect the data leakage?

f) Are the devices interchangeable amongst the employees? What is the procedure for log in and log out? What can happen if the device is handed over even though the predecessor had not logged out?

g) What will happen if the information stored in the device is downloaded in time? Will it impact operations?

h) Can information be transferred from one device to another or it can be downloaded only to the PC/laptop? Who are the authorised persons to download the information in either case?

There are so many questions associated with your post. Though I have used my power of anticipation, it is important for you to go along with the field executives and find out how they operation the devices, when they operation, for what purposes they operate. Your field survey will help in adding few more points in the above list!
