If you want to implement a new format of appointment letter, you have to analyse whether its possible to provide it to everyone.. means how mush strength is there with you..
If its possible to provide the same, do ask to every employee to return their previous appointment letter and accordingly prepare the new one.. get it signed by the respective authority... and do return them.
