I am working in a facility Mgmt. co. as Mgr. HR. We have strength of near about 300 employees and I want to do coding for all.
You are all requested to give me the procedure for coding.
Note: Because we have contractual labour so there is high attrition rate.

Hello Vilas
You could code employees numerically or alpha numerically.
Numeric coding - Considering your high attrition rate you could you a five didgit numeric code beginning with 00001, 00002, and there on depending on:
a) First, by the date of joining
b) then alphabetically, if date of joining is same.
Numeric coding is easy when using spreadsheets, esp in payroll, as it is not case sensitive.
Alpha numeric coding - You could assign various albhabets/alpabetical combination to each department in your company.
e.g. Admin - AD,
Acounts - AC,
Finance - FN
Production - PD
..... and so on...
and then, depending on the dates of joining of employees in those depts, you could chronologically code them. Here your can reduce the digits to 3 (e.g. - AD 001, FN 001, HR 001....), as the dept.wise attrition would be less compared to the entire organization attrition.

I have done this type of coding in my previous company. Hope it`ll be helpful to you.
Make two parts of employee permanent employee and temporary employee (contractual worker)
Give code no. to each department.
Eg. Production(01), Marketing (02), Accounts (03) so on.
Then Employees code 001 of concern department.
Now the code will be Departments code + Employees Code
Eg. Production - 01001, 01002
Marketing - 02001, 02002
Accounts - 03001, 03002
You can extend coding as per extension of manpower strength.
If you required give different code for worker.
Eg. If you have total 7 department then for productions worker 08 , Dispatch 09, Stores 10, Temporary worker 11 etc.
There is some limitation for contracted labour as per license of labour contractor. (It depends upon you how many contractor you have appointed)You can give different coding for each contractor as department.
Eg. code no 11 labour by XYZ contractor, 12 by ABC, etc.
Number of department will never change. You can extend no of department up to 99. and Employee code can extend upto 999 per department.
Code no of employee can be extended without limit.
Be creative and make it as simple as any labour can easily remember it.
