Hi Everyone, We have a company policy in place stating every staff member must submit their IT assets to IT Dept. prior to going on annual or emergency vacation. However, in some special case, they can take their assets with the management's approval.
We have a situation here that some of the rogue staff doesn't comply with the policy and taking IT assets with them without following proper approval.
Could someone please help me to draft a polite letter so that I can send it to all the office staffs.

See the draft as below, you may edit as per your requirement, if need be.
Dear Employees
Time and again all employees have been advised to submit all IT Assets to IT department, as per IT Policy, before proceeding on annual vacation. It has been brought to our notice that some employees are not following the above Policy and proceed on leave without handing over the IT Assets. Please note such act of not submitting the IT Assets, before vacation leave is violation of IT Policy.
All employees are hereby advised to follow the IT Policy without fail.
All your co-operation is solicited.
