Please guide me through the scenario of appointment letters, when the letter should be issued & what should be terms mentioned in that also please clear it should be issued after probation period or at the time of joining.

Appointment letters should be issued at the time of joining. After confirmation you shall issue Appointment confirmation letters.
It should contain all the all the policies of the organisation like, Leave policy, anagement policy and what ever, Terms & Conditions, Relieving & termination policy, Wages break-up. Terms & Conditions relater to the confidential agreement etc.

Appointment letter is the confirmation from the employer to the employee that he/she has selected for a particular position. the issue of appointment letter is depends on the companies practices some companies issue at the time of joining/on boarding process, some companies will wait until the completion of probation. It should include, Standard Operating Procedures, Compensation & Benefits, Leave details, Separation formalities, Probation details.

Thank you so much for the valuable feedback much appreciable but i would like to get much detail like when the candidate is selected i issue them offer letter & the time of joining when the documents are submitted i ask them to sign the offer letter so is it the right way or i should give them after probation period.

Appointment letter should be given at the time of joining. Before joining offer letter shall be given.

I fully agree with Jeevarathnam, Offer letter has to be given while offering a job, appointment letter has to be given at the time of joining the company, and confirmation letter on sucessful completion of the Probation.

Hi Divya

Tully said by Jeevarathnam P, pl note , after selection of an candidate , HR will mail or post Offer letter, indicating his selection for the post, time period to join, package finalised and place to report.

After joining, preferably on very 1st day, issue appointment letter, get one copy signed as received and file in his personal file. In the appointment letter mention the probation period and put the clause that "after successful completion of probation period your service will be confirmed".

Following are general points to be covered in Appointment letter :

1. Name, Address and contact details of candidate

2. Post Offered, Pay package, perks

3. Place of work

4. Terms and condition and rules to be followed during employment

5. Notice period required

6. Signature of competent authority to issue appointment letter

7. Signature of new join as acceptance



Issue Confirmation letter on completion of probation period after reviewing his performance and note of his superior. If performance is not satisfactory then two options may be considered :

1. Extension of probation period further for said/mentioned period,

2. Service termination letter mentioning his non suitability to the post or non performance as the case may be.
