Im designing a Mobile Handset Policy for My Organisation.
I wish to Know Various probabilities for the same.
Also please help me how to prepare the policy for different levels ie from HOD's to Office Boys.

You can have this policy on gradewise.
Bills will be settled against production of original bills and against proof for having paid the bill. This reimbursement will be made once in a month.
Only reimbursement will be made for the official calls will be made and for the personal calls (against self declaration) employees have to bear the cost and the bill amount will be deducted from reimbursement.
Only hand set will be provided by company according to grade and
sim card will be provided by the company for designated cadre only.
Bills to be verified and certified by HR & Admn. department
Bill to be certified for the amount and their eligibility and the amount claimed for the month also to be mentioned.
Hope this will give fair idea to you.

Thank u very much for showing a very good gesture and replying to my querry, but We already have a policy for the recurring expenditure i.e for the mobile Bills and that too is grade wise.
Now we want to put a limit Grade wise for the Handsets (mobile phones) also which is provided by the Company, kindly help out with any policy if you have one.

Any policy that we make must be easy to operate and normally should stand the test of time. Therefore I suggest the following:
1. Find the type of jobs irrespective of levels which needs more usage of mobile phones ( Office boys, customer reps will have more usage than say a even a Accounts Manager).
2. Fix limits for different work groups as per usage.
3. For massaging the ego of the HODs and seniors you may reimburse at actuals or set higher limits.
4. Let the responsibility of vouching the genuineness of the bill with the Line Manager. ( HR has got better jobs to do than being verification assistants)
5. On approval by the Boss, accounts will reimburse up to maximum lin it or approved amount as the case may be.
I have done this and it is working for about 7 months. ( Of course there were resistance in the initial days but we resolved in 2 months)
It is simple to operate and will work for some years.

Its better to obtain a sign off from the employee that the mobile hand set is a company asset and incase of loss, the employee has to make good the loss.
Also, while employees quit, get them to hand over the entire mobile as they had taken it. I mean they need to get the charger, CD if any, booklets, etc., Else, this needs to be deducted in the full and final settlement.
Get the handset covered under insurance (similar to laptop)
