Structure of your resume

Remember that on an average, an HR has to read around 100 resumes a day. And they spend barely 2 hours reading it. That leaves around 60-72 seconds per resume. Your resume should be structured in such a way that it should grab a recruiter’s attention within that short time frame. You also need to add enough detail to your resume so that once it is shortlisted by the HR, the hiring manager can see details of your work experience and past projects.

Keeping these in mind, here is a good format for your resume:

Work-experience Summary

Education Summary

Technical Skills

Past Project Details

Extra-curricular activities (Optional for core engineering roles)

This format captures a snapshot of your profile on the front page (In 60 seconds that’s as far as most HRs can get)

Detailed Resume Structure

Resume Header

This should contain your name and your contact details. Contact details include your email address, phone number and address (Optional)

Profile Summary

This should be a small paragraph of 2-3 lines giving specifics about your key expertise, work-experience, and education. This is important since it gives the reader a quick idea of your background. Remember that in order to be effective, this should contain the most strengths in your resume and should be kept short.

Work-Experience Summary

This should contain a table listing the companies you worked for and your profiles in each company in reverse chronological order (latest company listed first). This can also contain work duration and location.

In case you have worked for only one or two companies in the past, this can be a brief paragraph describing your role.

In case you are a fresher, this section does not apply to you.

Education Summary

This should contain a table listing your education details in reverse chronological order. At minimum your post graduate and graduate institution, branch and year of graduation should be included. You may also include your 10th and 12th details if you are in the early stage of your career.

Vocational Skills

This should contain a list of your technical and job-related skills. Engineers and technical people should list their core skills like languages and technologies known and worked with. Sales, customer support representatives and business process outsourcing should include skills like process knowledge and soft skills

These 5 sections should make up the first page of your resume. They should be in tabular form on in short paragraphs so that they are easily readable. You should ensure that the main strengths of your profile are listed in this page in some section or the other, so that if the HR reads only this section, you will still get shortlisted.

Work-Experience Details

This section should be organized in reverse chronological order. This section contains details of your work experience and can be in paragraph form. This is usually read in-depth by hiring managers and interviewers and only quickly scanned through by HRs.

You can arrange data in the following format:

Company Name

Designation

Duration

Location

Projects

For each project, you should include

Past Project Title

Duration

Details : This should include what your role in the project was. That is what most hiring managers are interested in. You can give a few other details like technologies you used, how many people were in the team etc, but remember that the hiring manager is not as interested in knowing what the project was as he is in learning what you contributed towards the project

Extra-Curricular Activities

This section should not be confused with hobbies and interests. This means what other activities you do out of work which may be useful to the organization or which tell the interviewer something more about your personality. Please do not include things like listening to music or reading. These are things everybody does. Valid things to include here are if you are part of some NGO, or a professional organization like IEEE.

Other Tips

Keep it short and relevant

Whatever you are including in your resume, remember to ask yourself the question – is this information relevant to the job I am applying to? If the answer is no, you are better leaving it out. Keeping your resume short and relevant will result in a higher probability of it being read fully. If you put in a lot of irrelevant information, the recruiter will lose interest in reading your resume in detail and even the important information may get lost.

Be Honest

Some people chose to lie on their resumes in the hope that it will get them an interview and a job. Remember, this is a very bad choice and would have a harmful effect on your career – sooner or later your lies will get caught and result in bad consequences like either being blacklisted or being dismissed if its caught while you are on the job.
