Hope all of you are fine. I work in HR department of an IT company. Please let me know that is it necessary to mention reference in an increment letter, for example Ref: CIT/HR/INCR/09/15/008. Let me know another issue that is it necessary to mention Basic, House Rent, Conveyance, Medical Allowance in increment letter. Please suggest me. Thanks

Hi,
I am not from HR field but have been in Software industry for 8 yrs and worked with multiple employers. I can confirm that whenever they issued me increment letters, reference was always mentioned on it. Moreover, any documentation relating to remuneration had an annexure attached to it that detailed about salary break-up.

Any official letters are issued or sent to any body should contain the reference number and date is must. Failing which it will be difficult to trace out reference from the concerned files.
Your second query, If the salary structures are changed, then only you are required to mention all the details whatever is payable to the employee. If you are giving the increment in the basic salary, you can mention that your basic salary is increased and fixed at Rs.xxx and other allowance are remained same as the other allowance calculations are interlinked with basic salary.

Generally; 2 types of Files are kept 1. Subject/General Files for each subjects like Factory Licence, Consent from Pollution Bd., PF, ESI Rules, Standing Orders, Leave Rules etc., & 2. Personal Files for each employee.+ CONFIDENTIAL FILES OF IMPORTANT ISSUES which is kept by HOD.
Every file must contain Ref.No.like TSP/HRA/SK/105 where TSP means name of Co., HRA is the Dept., & SK is the HR Manager Shivakumar.followed by the Index No.of File. This helps the Staff to retrieve the files fast and these are well laid procedures for File Maintenance.
