Dear Shuchee
Always there must be two way communication. If a person apply leave, then the automated leave request to be sent to the concerned line manager/section incharge, HR and approving authority. On approval or rejection, the same intimation must be informed to the applicant, Line Manager and HR.
Even you can have the biometric attendance and the same can be used for payroll preparation and in case of any absence, non-punch or mis-punch, the same to be intimated to the concerned person on monthly basis, the regularisation power must be given to the respective HR after due verification.
The Format can be something like this
Employee Name & details
Type of Leave, No of days leave & Leave from & Leave upto
Whether availing LTA / Leave encashment
At last, the portal address, from where the mail got triggered.
