We are in the process of engaging 'Security Services' vendor for our organization. The vendor will be deploying security personnel at all our offices in Karnataka, and the total strength would be 150 or more. As per our understanding, the vendor has to submit the following documents so that we can issue Form V for the vendor to obtain the Labour License:
1. PF Code Allotment copy
2. ESI Code Allotment Copy
3. PT Registration Copy
4. Karnataka Shops & Establishments Registration Copy.
The vendor claims that he has a PF Trust and has the grant of exemption under EPF & MP Act, 1952. The vendor is submitting the letter of grant of exemption to us but not PF Code Allotment copy. Kindly guide us on how important the PF Code Allotment copy is in this regard. Please also clarify the details of forming PF Trust, deductions, remittances, and other procedures to be followed in such cases.

dear they might be having trust but they may be having code allotment copy also because pension share of PF is deposited with PF authorities and it is not kept with trust. regards j s malik

Dear Raj,
If your vendor claims that they have an Exempted PF trust, then you must ask for the Notification for Exemption of PF. The PF authority must have provided them with the Notification of exemption for their trust. Through that, you can obtain their PF number.

Thanks to both of you. I have received a copy of the Notification of PF Exemption provided to the vendor by PF Authorities, but he claims he was issued a PF Code in the early '70s. Therefore, there was no procedure for providing any PF Code Allotment copy, and hence the authorities have not provided him with a copy of the same. Can I proceed with just the notification copy, or should I insist on the code allotment copy as well? Request your clarification.
