Dear all,

I want to arrange a program called Communication Week but am not getting any ideas on how to do that. Can anybody help me out and provide the procedure for arranging this program, as well as suggest activities that can be included? I am eagerly waiting for your positive response.

Hi Nipuna,

What I gathered from this is that you want to have a program to deliver company performance. Instead of going for a week, you can suggest having a communication meeting once a month, where everybody from top management to lower levels will be present. You can arrange it in the canteen or seminar hall. We conduct it monthly like this. The information you can share is:

1. Financial status for that month like current vs. budgeted sales, profit, the way you share it.

2. Quality-related information like customer complaints, PPM at various stages.

3. Customer visits, new projects.

4. Any regular communication you want to do.

Along with this, you can have rewards for the best project, any HR event you hold for that month. If you have any idea/suggestion scheme, then an award for that, an award for the best team, and an award for 5 'S' & many more. This meeting can be hosted by you, and department heads can share their department status.

You can also have an open session with the company head where employees can ask their questions to him.

You can end this with snacks for all.

For example, an extempore for employees and similar activities that I would like to organize. Can you help me frame this event so that it can be very effective?

Hi Nipuna,

"Communication Week" - This concept is pretty popular in corporate terms, though the names are different for it. Why don't you include interactive sessions based on the communication part? Generally, these events do not cause that anxiety unless well organized and professionally segmented activities are involved. The activities may start from, as you mentioned, extempore, hot seat games, interactive games, creative ad sessions, GD's, and of course, fun is involved.

Hi!! This is Durga Chatterjee, to organize Communication Week in your organization, design a 6-day schedule outlining the activities for each day. For example:

1. Presentation to all employees on netiquette (email etiquette) followed by guidelines on its effective use, as email communication is prevalent in organizations. Consider offering prizes for the most efficient email user following an evaluation.
2. On the 2nd day, focus on enhancing writing skills. Organize a competition on report writing, memo writing, application writing, etc. Reward participants to motivate them.
3. Identify the best speaker in the organization. Assign different topics to volunteer participants on the 2nd day and have them prepare to present on the 3rd day in front of a crowd of at least 50 employees for evaluation.
4. On the 4th day, arrange communication or listening skill-based group games.
5. The 5th day can feature a painting competition on the importance of communication. Participants must express their views using paint and brush on paper in a creativity round. In the latter half of the day, organize an information session on telephone etiquette or the official use of phones.

Nipuna, congrats for thinking of something new at last.

Communication week will have some games by forming groups if you have time. Otherwise, it can be a general kind of program for the employees in your office. Give them topics and ask them to write on them, then have the groups simulate and respond to each other.
