Greetings.

I have recently joined an organization which has an employee strength of over 200. I have been asked to verify the authenticity of the certificates of all the employees working since January 2006.

I would be obliged if you could help me with how to proceed with the verification of educational certificates and previous employment. What are the basic letter formats that are sent to the institutions, etc.?

Please assist me with this as soon as possible. Thank you in advance.

First of all, congratulations on your job. This is the most important thing in each and every organization – recruitment. Verification of certificates should be done carefully at the time of recruitment itself. If it is not done in your company, then there must be something missing. You need to check the Recruitment Policy of your company in detail. Then, the advertisement of those posts which have been published in different modes like in newspapers, the Internet, etc. Based on those criteria, you have to review the applications and those appointed against that advertisement. Caste certificates should also be checked in the case of persons appointed under reservation. Their medical reports should also be checked to ensure they are in a position to do the work properly. These are some things you can do.

You can approach any agencies that specialize in verifying the authenticity of the credentials submitted by employees. Alternatively, you can also verify the original credentials and contact the employers by mail or letters.

Great thanks for such quick responses. However, the help has not reached me yet. I am not required to go to any external agency for this work, and I am supposed to conduct verification checks only on the educational certificates and previous employment of the employees who joined since January 2006. I have never done this before; therefore, I need guidance on the method to follow and the letters (to the institutions/universities) that should precede this task.

I am Praveen, working in an engineering college. You need to verify whether the candidate studied and the percentage they obtained is the most important information to ask for in each educational institution. Every educational institution has a separate exam cell where they keep all records. So, what you should do is call the educational institution and request this information. They will provide it within a few hours. Okay?

I worked for a verification company in the employment department, where I checked the authenticity of previous employment certificates submitted by candidates. Nowadays, companies are very aware of these checks. To proceed, obtain the contact details of the HR from the candidate's previous organization (accessible on the website) and contact them. Request the HR's email address, send an email to confirm your conversation, and scan and forward the certificates for verification to ensure they are genuine (for added security). During the call, mention that your company is considering hiring the candidate and hence the verification is necessary.

In my role, I conducted two types of HR checks: HR verification and supervisor verification. HR verification provides specific details such as dates of employment, job titles, reporting managers, and salary information (although some companies may not disclose exact amounts, you can request an approximate figure). Supervisor verification, on the other hand, offers feedback on job responsibilities and performance.

In my ex-company, we had a verification department where they used to maintain a database of different universities and colleges. The verification team used to directly contact the college and obtain information from the college in most cases. We only went for university verification in very rare cases. Therefore, I suggest you collect the database of colleges with their phone numbers. In our company, educational background is verified only for technical employees along with experience verification. For the management team, only experience verification is conducted.
