Dear Ve-Ni,

When it comes to training on communication, the focus is often primarily on personal communication. However, while working within an organization, non-communication can present a significant challenge. Therefore, the emphasis should be on establishing a communication grid that allows for a seamless flow of communication in all directions - upward, downward, and sideways.

Organizations bear a substantial cost due to non-communication. Hence, it is crucial to pinpoint instances of non-communication within your organization and calculate the associated costs. Design the training program based on these findings. The return on investment (ROI) for the training can be measured by comparing the cost of non-communication before and after the training.

Although personal communication is essential and its significance should not be underestimated, instead of investing time in conducting training on this topic, it may be more effective to provide employees with relevant materials and allow them to self-educate. Understanding the principles of communication is not overly complex and can be learned independently.

The suggestions provided above may diverge from the conventional practices in the training industry. However, I offer them to prevent you from repeating the mistakes commonly made by other HR and training professionals.

Thank you,

Dinesh Divekar

Dear Colleague,

Very well narrated by our colleague. To add:

Further, communication training should focus on:

The communication skills and effectiveness of supervisory and managerial executives in your company who extract work from other employees. Assess how effective they are in 1) Oral Communication, 2) Written Communication, 3) Group Communication or Public Speaking, 4) Presentation Skills, 5) Negotiation Skills, 6) Effective use of Transactional Analysis in Communication such as Parent/Adult/Child Ego in the communication process and a full understanding, 7) Preparation for Effective Communication - The Tools, 8) Listening Skills as part of Effective Communication, and so on.

2. Organizational Communication:
For organizational communication, the program should focus on 1) Design of Mass Communication/Business Communication, 2) The Channels of Communication - Upward, Downward, Lateral and their effective use, 3) Use of various tools of communication like emails, conferences, conclaves, meetings, agenda for each meeting, 4) Use of Standard Templates for communication, 5) Communication Matrix to avoid confusion and clarify Delegation of Authority (DOA), 6) Channels and Authority for External Communication, 7) Channels and Authority to communicate with stakeholders are to be focused on.
