I like to draft a memo regarding regular absenteeism without intimation. My management wants me to highlight that all Emergency/Medical Leave must be informed verbally to their superior and HR manager; text messages through mobile phones are not accepted. As I'm new to the HR field, please provide me with some guidelines to draft the official memo.

The proposed memo may include the following:

Management took note with much concern about your high rate of absenteeism for the period ...

We would like to inform you that such absences are causing much prejudice to the smooth running of the department.

Accordingly, we wish you to take note of the above and amend accordingly, or otherwise, we will have no other option than to take stringent disciplinary actions against you.

We trust we can rely on your kind understanding.

This serves to highlight this disregard for work ethics and protocol; as you were noticeably absent on Wednesday January 8, 2014 without informing the relevant persons of your decision to be absent.

To this point we have not receive a respectful apology or advice to justify your action. However what has been received is the following via text messages to my phone. At 4:01 pm, “Good day, saw Ur calls but cannot speak on the phone”. “So you can go ahead and text”. “Thank you”. Followed by another text at 7:20pm “Queniel has a chest infection and I have been on the road all day. Was not able to talk on the phone.

Followed by another at 7:26, “I am not also at the point where I might have to move back home”. “Under the current conditions of salary payments I cannot live in a rent house nor can I honour my monthly payments to creditors on time to avoid late charges”.

Just to caution, in the future be mindful that this is an educational facility, and we have young minds that are waiting on us to care and nuture for them.
