I am working in the automobile industry as a payroll executive, and I also handle the time office. My company has implemented software recently for the attendance of the employees. The problem is that I have to handle a lot of mispunches daily and update them in the software. Can anyone suggest ways to minimize the mispunches?

Therefore, you need to manually correct any minor errors. For any major errors, you should consider a biometric IT technician to adjust the inaccuracy-detecting features.

Hello,

The simplest way is to activate the browser system. All biometric attendance software has this facility. The browser enables the employee to see his/her punch for the day. In case the in-time or the out-time is missing, they can apply for the actual log-in time, mentioning the reason for such late coming/early going punch. The application will directly go to his/her reporting head, who in turn can sanction or decline the application. If the reporting head sanctions, the same is shown as a pop-up to the HR payroll executive. The moment you click "OK," it is updated. This reduces your manual entry and saves a lot of time.

This can be done at your leisure, i.e., once a week or month, sparing you for much more important work.

Dear Kapil,

I don't know which kind of software you are using. We have also developed our own iHCRMS, and all our clients are using this. The updating authority is only with the HR, hence no chance of mishandling the software during punch in and punch out. Discuss your software provider about your problem so that they can put a check on the mishandling.

Dear Kapil,

This is a common problem to punch the attendance manually in the software to calculate the total payable days. The process which we use (15 Minutes Daily Activity) is as follows:

1. Retrieve the In/Out or Missed Punch data in Excel.
2. Send a message on their mobile through Bulk SMS software.
3. Default message: Dear Sir, your In Time ___, Out Time ___, and status are Absent / Missed Punch. Kindly fill the Attendance Regularization Form (Missed Punch Form) / Leave Form to update your attendance.
4. They collect the form and submit the same to HR after getting approved from respective HODs.

I would suggest ZINCOM brand's Biometric machine, which minimizes the missed punches. I am using the same at my location. It can be found on Google or contacted at 09826022287 for inquiries. A biometric machine should always include a feature to avoid extra data burden for any payroll executive for smooth and cost-effective operations. Thanks

Such a situation is common, and people sometimes do not punch. To handle this, you must have an appropriate policy in place to address such employees who do not punch regularly. There are multiple options you can consider:

1. Use an online system where employees can view their attendance records and can apply/update their punch in case of any issue. This will be directed to either HR or their reporting head for approval. If approved, the system will be updated.

2. Handle such cases strictly.

3. Update your software to meet complex requirements.
