Hello everybody,

I am working as an intern in a pharma company. As per the organization, SOPs have been communicated to the employees. SOPs are HR related, i.e., position creation, transfer, recruitment, selection, and joining formalities. Now, I have been asked to design a system or device that can ensure that if employees are not following the SOP, what steps should be taken? Kindly give your valuable inputs.

Dear Sripriya,

This is Nitesh Jain, HR from the pharma industry. The easiest way to ensure compliance is to use the annexure formats that are duly filled on a daily basis. Enable all the HODs to conduct a thorough inspection inside and outside the plant premises for a few minutes and ask them to submit a daily report on any non-compliances. After receiving the daily report, you can address these issues based on the person who is responsible for the non-compliance.

Thank you, sir, for your worthy guidance. Kindly find attached the SOP (HR) where you will see the details. I would appreciate it if you could provide me with further information. My main focus will be on each activity outlined in the SOP. If these activities are not followed by the employees, what steps should be taken? As you mentioned, will the daily status report be effective in monitoring each activity?

Dear Sripriya,

I believe your SOP has been designed in a critical format. On a daily basis, even if it doesn't work out, you can ask for the status (i.e., for example: SOP No. 1 related to budget approvals). Ask your employees to follow up on the activity regularly. Suppose the budget gets approved after 10 days, why shouldn't it get approved in 5 days? If not, ask for the exact justification. Since many of them are not routine activities, you can design them according to the frequency of the activities happening.
