Hi,
I work in a mid-sized IT company with 100 employees. The issue that I am facing is how to communicate to all employees that the notice period is now 2 months instead of the earlier 1 month. My Head has asked me to contact all employees regarding the same. We have confirmed employees who have been working for 3 years, and there is resistance regarding the change. Please help!

Hi,
There are two ways in which you can do this:
1) Circulate a soft copy of the circular through email or a hard copy circular regarding this.
2) Prepare an agreement on this and have all employees sign for your record purposes.
I hope this will help you out, and I think you have to follow both.
Dear Sr., please suggest if my suggestions are right or if there are alternative options.
Akanksha Mehta, please let me know, and I will provide you with a draft of the mail/circular format.

We do not have an employee handbook yet since we are setting up the HR department as soon as possible, but we are so caught up in the statutory things like PF and ESI, which we have recently done. Now, this notice period of 2 months for everyone... we are already facing a lot of resistance too.
Sai Prasad, can you please send me a draft of the circular?
Thank you so much for replying with your suggestions.

Hi,
Issue a circular to all staff amending the probationary clause and ensure it is signed by them. Alternatively, issue a separate amendment to individual employees who are confirmed and existing, have them sign it, and file it in their respective personnel files. You can incorporate the amended probationary clause in the appointment letters for the employees who join later.

I agree with Mr. Sai Prasad. Please send one soft copy for all the copies for information and route hard copies through concerned HODs to obtain the signature of individual employees. Signed hard copies should be placed in the respective personnel files for future reference. This has been the practice in my company. A covering note circular may start like this, "As per the company's revised policy, the existing notice period applicable to our employees stands revised from 1 month to 2 months. This will be effective from...
