Please let me know how to draft a warning letter to the security agency regarding their guard sleeping during duty hours. This issue is significant concerning company security.

Kindly suggest and advise.

What are you warning them about?

You have already told us what the problem is, just write that in a letter to the company. Explain that security has been compromised, and ask what action the company will take to rectify the problem.

Let the company deal with the problem first, BEFORE you start sending warning letters and such like. If it is not resolved then you need to decide the next steps. This is a matter that needs to be discussed face to face, not via mail.

Presumably, you have a security contract. Instead of alerting the security agency/guard, you can directly request the agency to replace the sleeping guard with a more alert one. After all, you are paying for their services on a monthly basis.

I am surprised to hear that you need help from someone to draft a letter to the vendor.

You simply need to inform them of the incident noticed, the possible impact, and ask them to ensure it is not repeated, or you will be forced to terminate the contract.

I do not understand what you are confused about. Perhaps if you provide the draft you have made, someone will be able to point out any discrepancies.

Thanks for guiding me. I understand the situation and will discuss those issues directly with the Head of Security Guard and email them accordingly as well.

Now, those senior security guards come for a surprise visit every day and submit the report accordingly.
