Dear All,

Please help me create a notice for all employees regarding the use of the new attendance machine. The finger scanner has already been installed in our office. I need to send an email to all employees instructing them to use the scanner when they arrive at work and before leaving the office.

You already know what you have to say, i.e., all employees have to use the new scanner on arrival and departure. You might need to add the penalty for not doing so, e.g., loss of salary.

Too many people get bogged down in detail and then want others to write their emails. It is a simple task for everyone. Emails are meant to be short, sharp, and to the point, not a retelling of Tolstoy's "War and Peace".

You know what you have to say. Just say it, sign it, and send it.

To All,
Sub: Circular on Attendance through Biometric System (Finger Punch)
This is to inform all of you that we have introduced the process of capturing employees’ attendance
through Biometric System (Finger Punch) effective from 25th January, 2022 & it is mandatory for all
to follow the process in order to do check in & check out. The said process will not be applicable for
onsite employees & they will follow the mobile capture attendance system.
Please find below guidelines of putting your attendance through Biometric system:
1. You are required to do finger Punch for check in & check out wherein your first finger Punch
would be considered as your Check In time & last finger punch would be as your Check Out
time.
2. Your Intime will get display on Intranet after 10.30 AM on same day.
3. The only difference in this process is that you have to put your check in & check out through
finger punch instead of Intranet. This will help us to overcome with the problems such as
internet / Intranet not working & other technical errors.
4. Rest process will remain unchanged & you have to go through the intranet only.
