Hi team,

I need an expert's opinion and solution to the following query as soon as possible.

I am trying to calculate the balance for each leave type as of the following dates. The Date of Joining (DOJ) is 31-03-2016, and the employee has not taken any leave, and all leaves are carried forward. I am having trouble calculating this in an Excel sheet and determining the final balances.

The leave types are Casual leave, Sick Leave, and Earned Leave with annual allotments of 24, 18, and 24, respectively. These are calculated on a pro-rata basis from the DOJ. The accruals are quarterly, monthly, and bi-annually, respectively. The start of the accrual is the beginning of the quarter for Casual leave, the end of the month for Sick leave, and the beginning of the half-year for Earned leave. The leave cycle is the financial year for Casual and Sick leave and the calendar year for Earned leave.

The dates for which I need the leave balance are 07-08-2017, 25-12-2017, 16-01-2018, 05-05-2018, 12-06-2018, 19-07-2018, and 15-03-2019. The location is Karjat, India.

As per the information provided, the leave calculations would be as follows:

Step 1: Determine the Leave Accrual Period
- Casual Leave (C/L): Quarter
- Sick Leave (S/L): Month
- Earned Leave (E/L): Half-Year

Step 2: Calculate Leave Accrual
- C/L: 24 leaves per year/4 quarters = 6 leaves accrued per quarter
- S/L: 18 leaves per year/12 months = 1.5 leaves accrued per month
- E/L: 24 leaves per year/2 half-years = 12 leaves accrued per half-year

Step 3: Calculate Leave Balance
For each of the dates you listed, calculate the number of accrual periods that have passed since the DOJ and multiply by the leaves accrued per period. Ensure that the maximum number of leaves accrued doesn't exceed the annual allotment.

For example, for C/L balance on 07-08-2017:
- DOJ to 07-08-2017 is 5 quarters.
- Leaves accrued = 5 quarters * 6 leaves per quarter = 30 leaves.
- As the maximum allotment is 24 leaves, the balance is 24.

Repeat this calculation for all dates and leave types. If the employee has not taken any leave, the balance would be the lower of the accrued leaves and the annual allotment.

Please note that this is a simple calculation and actual leave policies might differ based on various factors including company policy and local labor laws. Always cross-verify with the HR policy of the company or use HR management software for accurate calculations.
