Appointment letter is a contract between an employer and an employee, so is it valid to share terms and conditions over an email rather than issuing a letter as an attachment or hard copy?

Yes, You can format your Offer of Appointment/Employment contract with annexure/attachment digitally signed, and e-mail the same to selected candidates. This is a valid document.

Ofcourse digitally signed documents are valid for all administrative purposes for the present. But I would suggest the same docs should also be followed up by hard copies as well. This I suggest keeping in view at times when matters are taken to court for any litigation later producing digital docs might pose problems. Hence hard copies in original shall be permanent docs to avert complications in future.

However the physical document must be preserved and filed.
Also a copy of same must ne retained by employee.
In case of an amendments or change, fresh documents may be issued.
