Recently i have hired new employee from Pune and she wants to join in Bangalore location. Now she is writing mail to us for reimburse the traveling and room charges for 2 days. According to company policy we cannot give that to her. How to write mail in a professional way.

Dear Sharath,
A new recruitment took place at Pune. Later the recruited employee applied for the transfer of job to Bengaluru. Her request was obliged and now she is claiming the TA and DA for the transfer.
However, while considering her application you could have clarified to her that whether she is eligible for the TA/DA or not. Going further few smart HR professionals ensure that the applicant writes in her application that since the transfer is a personal requirement she is ready to forego the TA/DA.
If you had clarified her about TA/DA before the transfer, this query would not have come up. However, now also you can communicate to her that the transfer took place to fulfil her personal requirement and as per company policy, she is not eligible to draw the TA/DA.
