It would be a great help if anyone could guide me on how to automate the letter process in HR (appointment letter, exit letter, confirmation letter, etc). I am expecting a process other than mail merge as I am familiar with it.

I have observed crude and complex ways of letter generation by HR teams. As there are plenty of formats and data requirements, many times, printing itself consumes a lot of time for professionals. Sometimes, obtaining signatures from the Head or CEO can further delay the process. Unfortunately, HR often finds itself on the receiving end, with either employees or line managers continuously following up and complaining about delays.

For very small firms, manually typing, printing, or using mail-merge for a few letters may not be a significant challenge. However, for medium to large organizations, manual letter generation can burden the HR team, resembling a Business Process Outsourcing (BPO) operation; it's no surprise that many firms outsource letter generation.

There is a simple solution that requires a small investment. If you have an HR Information System in place, consider requesting the team to add a feature for generating letters. I have all the formats and templates to generate the letters but expecting some stuff to automate the letters like VBA, SQL or any other technical way.

Formats are certainly critical. At the same time, the information to be used is much more critical, right?

If you have enough time and resources, and not many letters are required on a day-to-day basis, manual preparation and printing will work for you. Otherwise, automation or outsourcing are the only two options.

As far as automation is concerned, without an HR information system, HR letters cannot be generated. If you have the capital to run an in-house IT team and servers, you can build your own solution in-house. If not, subscribe to a software solution that is ready to use, like how you use Facebook or LinkedIn.
