Please guide if the Separation Policy and Disciplinary Action Policy should be shared with employees. It has been drafted for the company recently, but Senior Management is not willing to share the same formally. In my opinion, it has to be shared with the employees to know the rules and regulations.

Additionally, please advise on the right time to verbally make employees aware of the policies, as formal communication is avoided except when informed through the appointment letter.

There is no value in keeping vital personnel policies hidden from employees. Making things verbally known to employees is not adequate. A person is guided by his appointment letter, and if subsequent changes are made detrimental to the employee, they should be given full awareness of the change. Employment is a mutual contract and not a unilateral contract or decision.

Hi,

Any policy changes are usually updated in HR portals in large companies. This should also apply to your organization. If your company is a small to medium-sized organization, HR should circulate the revised policy to all concerned employees.

Policies are made for the employees to follow. If they are not shared with them, how do you expect them to follow? Not only the policies you have mentioned above, but all the policies the company has made which directly or indirectly affect the employee either immediately or in the long run.
