Dear Friend,

Why don't you create a common annex with a participants' list and obtain signatures on the same? I am suggesting this because you have already conducted the meeting and concluded. Alternatively, you could have collected signatures on the minutes document itself, which could be binding on them and useful for your records.

Alternatively, you could issue a circular now, instructing coordination based on the meeting held.
