Greetings!

I have some queries and seek advice on these: Should the HR be receiving the resignation letter of an employee directly, or should it first be submitted to the immediate Manager/TL of the employee? Many times, resigning employees ask for an accepted/signed copy of their resignation letter even though they do not complete the relieving formalities with us. What can we do in that situation?

Hi friend,

The resignation letters should be sent to the concerned supervisor only. HR should also receive a copy to be sent at the same time. Regardless of the decision, whether it is acceptance or rejection, a marked copy should be sent to the employee. If the resignation is accepted, the supervisor needs to clarify that it has been accepted. If rejected, the reasons for rejection should be provided. Do not issue relieving letters until the employees complete their exit formalities, and ensure this is communicated to all HODs in the company.

Hi Gunjan,

The resignation should first be given to the immediate boss, and simultaneously a copy should be forwarded to HR Dept. Afterwards, HR Dept. needs to take feedback from the immediate boss about the employee who resigned. Later, upon receiving the decision of the concerned individual either through mail or hard copy, the relieving letter needs to be issued.

One more thing to take care of is the full and final settlement.
