Dear Nisha,

If you are setting a rule, it must have come from some logic and observation. Your employees are closest to your situation. Hence, share the reason why it is so important to abide. Rules need to be owned and not merely set. State the privacy standards that need to be set. You can even consider asking employees how to find better measures for that?

We just want a reason or information from them why they are taking a laptop with them at home, as per the Project Manager's instruction that they don't have any official work. Last week, we had to upgrade the RAM of all machines, but not all laptops were in the office. Usually, employees carry laptops on weekends.

However, senior members are allowed to carry laptops home. This rule is being imposed for junior members/trainees only. The main reason for this is that without information, they carry laptops with them.

I guess this stands very clear. Maintenance is the backbone of every machinery.

Here's my suggestion, can you ask your employees to maintain a record of when their machines would require an upgrade or routine check? I have seen the IT Team chasing the operations down, whereas it should be the other way around. If the machines are not in order, the work will not be productive.

I am certain you have already explained it to your employees! Please ask the junior level to seek permission to take their laptops home. The senior management is far more responsible; hence, they might have a view on whether that would hamper or help productivity. Partnering in such activities works best. If the employees can remain proactive about raising tickets for maintenance, there would be nothing like it!

I work in a start-up company where everyone has direct access to the Director. This informality has led junior employees to take things rather casually. To address this, we are in the process of reforming our rules and regulations. These changes are not only being established but will also be implemented by all employees.

Some broad suggestions for a policy.

1. Anybody who is not supposed to take a laptop out of the office on a regular basis needs to sign it out each time. Permission from the senior for this should also be taken.

2. When maintenance is planned, IT needs to inform everyone of the plan and schedule a few days in advance so that they will be ready for handing over their machines.

In order to achieve parity and better Asset Management, you may consider structuring an Asset Policy. Primarily, it should include details on:

a) Definition of assets

b) Data privacy norms

c) Who is allowed to own a company asset, in what form, category, and amounts are sanctioned?

d) What are the general 'care' rules of assets provided to employees? This section can describe details on wear and tear, loss of assets, placement of assets, permission for the entry and exit of assets from the general place of work, procedures for regular maintenance, data and asset sharing, and the software piracy policy that must be observed.

e) Consequences of non-observance of the above, cost implications for employees and employers.

f) Replacement/maintenance/repair of assets

g) Asset return policy upon separation

Formats of forms for various requirements.

Based on some of the points mentioned, you can structure a robust policy that will not only be beneficial for laptops but also for other assets like mobile phones, netbooks, instruments, etc. As a startup, establishing this policy is crucial for setting good practices and creating a more structured environment in anticipation of future growth prospects.

Hi Nisha,

In my view, the purpose of a laptop is to carry out jobs inside or outside the company premises on weekdays. Even though no assignments are given to junior-level employees on the weekend, it would be better to schedule laptop maintenance during the weekdays or circulate an email to all staff in advance to have their laptops upgraded. People should not be separated into categories like senior and junior when making policy decisions.

Actually, I'm asking all these things because I'm in a start-up company and the sole HR person in my company, so sometimes it creates problems. Nobody is there to discuss things. That's why I choose this platform.
