I am working in a small IT company. Now, the company wants to enter into the outsourcing business. Can anyone please tell me how to write a letter to introduce the company to clients? How and what to write in a letter (draft)? It will be a great help for me if anyone provides related information to me...

I am not sure if your company has a blog or not, as this is a better way to reach your customers. You can also feature this in the news update section of your site.

About the blog post:

You can write a blog post about the news that your company is going to provide new outsourcing services.

Benefits:

- You can directly send a link to the same.
- Your blog will be a better platform for connecting with clients for future messages.
- You can create videos, PPTs, etc., and attach them there.

Message for the customers informing them:

Hi,

I want to inquire about what you are looking to outsource. Is it a website development project, a software development project, or something else?

Thanks,

Hello, sir. It's an outsourcing company, and we have candidates available for outsourcing, including web developers and software developers. However, I am unsure how to introduce these candidates to clients and convince them to select our company. Could you please assist with this? Thank you.

Dear Vadirajaa,

Sorry for not being in touch for days. Today, I found that you need some better solutions.

Looking that you don't have a blog, which I suggested would benefit you in the long run, is ok as of now.

As per the present situation, you can prepare a well-documented proposal and modify it as per the requirements (you can keep it as a download on your site in PDF format too); the formats you can easily get here.

It should cover:

- About the organization: Brief and the expertise as it hardly matters for the client in the beginning until you are a brand.
- A brief of the ideas and motivational thoughts (benefits of outsourcing in general, pitch it with how you can solve the same and give benefits to them).
- Services you provide.
- Clientele (focus and present better).
- Pricing: Level-wise cost for individual and group hiring.
- FAQ (frequently asked questions): so that queries of viewers can be solved at best.
- Contact details.

You need to focus on your USPs as to why hiring from your organization will be beneficial and in what aspect.

As you have mentioned you outsource employees as well as services, you need to separately mention them too.

Why ......(your organization name)?

- Exceptional Cost Saving.
- High quality.
- Faster delivery.
- Competitive Advantage.
- A Large Pool of Skilled Manpower.

You can focus the point as (your staffing policy):

Before moving to assignment, our hired professionals will always go through our sophisticated interviewing and testing process to let you get the best matches.

Our policy is that we hire skilled professionals and match them as per your requirements as we try to know the professionals face-to-face well enough to stand behind the quality of their work, all the way.

For the FAQ:

Frequently Asked Questions:

I am giving you in general FAQ, helpful to you:

Q: How does ......(company) ensure confidentiality?

A: Before the project development process starts, .......... signs the Non-Disclosure Agreement and keeps all customer and any offshore project-related information in strict confidence. Any references to the details of a customer project may be revealed only with the customer's written permission.

Q: How to get in contact with ......(company)?

A: Please fill in an online form or send us your email request to info@......... Our executive/manager will contact you immediately to discuss how we could create a synergy.

Q: How does ........... compile technical documentation?

Q: Who possesses the ownership of the final product?

A: This issue is usually discussed with the customer during contract negotiations. In most cases, the customer owns the sources and the marketing rights to the product.

Q: Does .......... issue any warranty?

A: It is our rule, after the project execution, to propose to the customer to conclude an additional agreement on the project support to keep the product in compliance with up-to-date customer requirements.

Q: How many developers can be immediately allocated for a project?

A: The team of ...... developers can be allocated within 2 weeks.

Q: What about the replacement policies?

Q: What are the modes of payment?

Hope this will help you, as suggesting a fixed document seems not a better method as you can work out to devise your own as it will be much more interactive once you get it done, or you can send me the same for modifications if you require further.

Hope it will work out for you now.

Have a nice day.

Hello Arvi,

Thank you so much for your reply. It will definitely help me a lot.

I have prepared a letter in which I covered:
1. Greetings
2. Introduction of the company
3. Introduction of resources
4. Why to choose our company (cost-effective, time-saving, expert resources, etc.)
5. Asking to give a chance to work with us.

However, I have not mentioned anything about terms and conditions, offers (pricing), or FAQs. I will add that information.

Can you please advise me on how to handle pricing? What percentage should we charge? I understand this may vary from company to company based on individual policies.

Thank you for your consideration and time.

Dear Vadirajaa,

So sorry to have made you wait for days for a response. It's nice to see that you have kept things nicely presented and in a neat pattern. Great to see your efforts.

I would like to mention that to make things more presentable when discussing your services, you can also use related images to better correlate while presenting your company and introducing its resources (points 2 and 3).

Once you have prepared your document, try to view it yourself as a customer or have it reviewed by a few unknown members to receive honest feedback. This approach will help you understand the importance of a nice presentation and, in brief, the significance of time for everyone. The competitive market is already filling up spaces in emails and on desks, which means that proposals we present may often end up in spam, garbage/recycle bins. Therefore, we should strive to make them decent, professional, and catchy.

Regarding pricing, I would suggest "show the work, and the market will follow you." In short, people in this market believe in those who can present their services well.

Start with a few examples to showcase your capabilities. Prices do matter, but once you establish yourself, you can negotiate effectively. Generally, people charge around the prevailing service taxes or even less to remain competitive. Once businesses rely on them, negotiations can be adjusted. Always aim for a win-win situation for long-term relationships. The most crucial aspect will be your initial meeting or teleconversation. Your presentation style, documentation, communication, and ability to win hearts will help you secure clients. Conduct thorough market research, and your SWOT (strengths, weaknesses, opportunities, threats) analysis will further assist you. With time, you'll gain experience, and I wish you all the best. Go ahead, start serving your clients well, understand their requirements, and add value to become the best service provider.

Have a nice day.

Regards,

Arvi
