Which documents are required in the audit of EPF? More than that, I would like to clarify that we issued the EPF license more than three years ago, and I recently discovered that they haven't conducted any inspections or audits. Please guide me in this direction. I will be thankful to you all.

3. First cash book/first bill book;
4. First ledger;
5. Proof of date of incorporation/commencement of business;
6. Certificate of registration under FA or S&E;
7. Articles of Memorandum and Association/Partnership deed;
8. Form 11 of all employees;
9. Returns - monthly/annually/5A submitted with remitted challans;
10. Current cash book and ledger;
11. Details of owners and bankers;
12. Inspection book; and
13. Any other record/document the inspector may deem fit to inspect.
The above documents the inspector can demand for any number of years and are not restricted to 3 years or any specific number of years. If I miss out on any document, one can add it.
Please ensure that the requested documents are readily available for inspection.

The Form 11 is to be maintained in respect of all employees, irrespective of whether they are members of PF or not. This form is a declaration by the employee about his status, indicating whether he is a member of PF on the date of joining. Based on this form, you need to make a decision regarding his PF membership with you.

Dear All,
I have been contributing to the PF account regularly and am now facing a unique problem as mentioned below:
The account has not been updated by the PF office since the financial year 2010. They began uploading the ECR file in March 2013. Due to inadvertence, my employer/consultant uploaded the WRONG NAME against my account number. It is not just a spelling error but a completely different name altogether. For example, instead of Devang Mehta, it was mentioned as Suraj Karna.
The PF online software captured the wrong name, and when I contacted the PF office, they informed me that there is no provision to rectify such an error.
Thus, on physical records, my name is listed as Devang Mehta, while on their software, it shows as Suraj Karna.
I am unable to make a withdrawal since I am still employed with the same organization. Even if I were to resign, the withdrawal could not proceed as my form would likely be rejected due to the name mismatch.
I would also like to mention that I have transferred funds to this account from my previous employer.
I kindly request if anyone can share any advice or guidance on how to address this issue.

Though EPFO declared that from July 1st, they are going to settle the claims in 3 days, but I have doubt. Till date number of accounts are not updated, not only of you or your company. Reason may be any thing. But I have seen some companies are very perticular in submission of periodical returns, still their accounts are not updated even after resubmitting the returns hard copy as well as soft copy, twice / trice.
You are advised here to submit your grievance to EPFO online.
As regards to issue 2:
There is nothing in this world which has no solution / rectification. You write to your company and your company has to find out the solution. The company did the mistake.
The company has missed one bus by not rectifying the mistake while uploading annexure II and uploading corrected ECR. The company can still upload the corrected ECR from beginning and write to EPFO to rectify the mistake.

I wish to add some points here. The wrong names were entered for all six members of my department. One of them has resigned, and when he applied for the withdrawal of PF, his form got rejected due to a name mismatch.
The company has filed a revised ECR, but the PF officer claims that the name cannot be rectified as the software does not allow them to do so. Our organization's HR visited the PF office and tried to resolve the matter. All correspondences regarding rectification have been submitted, but no positive feedback has been received from the PF office. Additionally, I am unable to download the EPF passbook, and the EPF balance does not come via SMS as it indicates no record found. I acknowledge that there is a solution or rectification for everything, but the PF office itself is not responding to the issue. I have also filed an online grievance three times (almost a year ago), but no response has been received.
If anyone has faced a similar difficulty, please share the steps taken to rectify such errors.

To just update, I got a reply from the PF office stating that no provision has been made by the Central Office in Delhi in the current version of the software regarding a name change in the computerized system. I really don't understand what I should do now, as the PF office is not supporting the rectification/updating of accounts.

I think I have the answer to your question. According to your issue, I have asked this question to the PF Department. The answer I have received is, if there is a name change while claiming for PF, you need proof from your current company that you are working here and the name is the same. It's not your mistake. Make sure to have your identity proof with you. If they ask for the last employer, then you are required to obtain a certificate from that employer. I believe this could be the solution to your problem.

I think I have the answer to your question. According to your issue, I have asked this question to the PF Department. The answer I have received is, if there is a name change while claiming for PF, you need proof from your current company that you are working here and the name is the same. It's not your mistake. I personally went there and tried to resolve the matter. All the proofs and letters from the employer have been submitted. However, the change can't take place because their software doesn't allow it. Even in their FAQs, it states that presently there is no provision for a name change.

Have you met with PRO? Ask him for a case study. As far as the name change is concerned, there is no provision because it's not your mistake. Go and prove it. You will get your money. Here it has happened and that's why I am telling you. As per my knowledge, this is the best idea and way to get your answer.

I haven't received any progress. However, through my RTI application and first appeal reply, I have received the same answer that presently there is no provision for a name change. One of the letters is duly signed by the PF Commissioner. Although I am in regular touch with the officials, it seems that no solution is coming out of it. The matter has been pending for the past year or so.

But you know, as far as here, I met the Public Relations Officer of the PF Department. He answered me like this - that it can happen, and the solution is this: if you go there, don't tell them that it's my issue. Behave like you want to know only.
