I need your help to draft an email regarding the information to update our field managers about recruitment, the joining process, and induction. As we are recruiting the field sales executives using Skype (Video Calling) and telephonic interviews, we are unable to be in direct contact with the candidates. Therefore, managers should verify the documents, conduct inductions, and brief the candidates about the company and their roles and responsibilities.

For the recruitment process, the manager conducts the initial interview and forwards the resume to me. I then conduct a Skype interview and schedule further interviews with the Marketing Head and the HR Manager. If a candidate is shortlisted, we send the necessary documents to the candidate. The managers are responsible for verifying the documents and conducting a 4-day induction to brief the candidate about the company, role and responsibilities, market value, competitor information, etc.

Please assist me in preparing an email on the same with a suitable format.

The procedures you described are best presented to your Field Managers as a flowchart. I have drawn up a simple flowchart for you to use. Please feel free to make any adjustments. I hope this helps.

OK, here is an introductory mail:

Memo to ALL Field Managers:

This memo is to advise all Field Managers of the new updated procedures that must be followed, with immediate effect, when recruiting for new Field Sales Executives.

The FMs will select candidates from applications and hold the first interview. If deemed suitable, you are to inform the candidate that a second interview will be conducted by HR via Skype. Please forward resumes to HR immediately.

HR will conduct the second interview, and if shortlisted, the candidate will be scheduled for a final interview by the Head of Marketing and HR Manager.

If the candidate is successful, all documentation will be sent to the FM for verification and to arrange induction.

The induction process will be over four days and will cover the following:

- The Company
- Role & Responsibility
- etc.
