Dear Balaji, Do you required the Exit formalities or Format of Hand Over Process? Format Hand Over is required for those who are working in level and not required for common employees i think so.

Dear Mr. Balaji,

Handover Protocol is not just a process or a note but an exit responsibility that is company-specific.

For example, if Mr. B joins an organization in place of Mr. A, Mr. A needs to prepare all the necessary and required tasks (documents/files/ticket booking agent details/stamps/computer files/registers/assignments and distribution of work to others) relating to his position and submit them to Mr. B.

You may use the following template for employees separating; however, it would be nice if you could modify it according to your requirements.

I request all employees to prepare for the handover of information related to their job specifics, including protocols, laptops, cell phones, important notes, schedules, important dates, passwords, keys to lockers/cupboards and racks, along with other documents/files. Please ensure that all obligations are up to date before the handover to HR on ____ (date).

We look forward to your full support in this regard.

I would just say this is no rocket science. Keeping it simple and straight, the exiting employee should prepare a list of his current tasks and duties and determine to whom he will be assigning or handing over these responsibilities, as per his manager's instructions.

Before leaving, he should hand over all sensitive and non-sensitive documents, files, and materials either to his manager on the scheduled date of his handover or to the designated storage location as instructed.

The handover process should be simple and should not disrupt any regular work or activities within the company.
