I am an HR professional in a small IT firm. Could someone help me out with framing the leave policy? We have decided to provide 18 days of Privilege leave per year, 0.5 day of sick leave, and 0.5 day of contingency leave each month. Additionally, we have planned to observe 13 holidays. Would that be okay?

Hi Nithya,

Your leave plan seems okay. When framing the policy, make it on a yearly basis, that is 6 days of casual leave and 6 days of sick leave. People covered under ESI, if applicable, will not be given sick leave as their sick leave will be taken care of by the ESI hospital they go to. For them, the 6 days should be added to some other leave.

The policy should also mention after how many continuous days of leave will it be treated as privilege leave. For example, if a person takes more than 2 days of casual leave, then that leave is considered as privilege leave. It should also address the intervening Sundays or holidays during the leave period, whether they should be treated as leave days.

Additionally, the leave policy should provide employees with a clear understanding of how many days of privilege leave can be taken at a given point of time and how many times in a year it can be availed.
