Dear Seniors,

Greetings.

Actually, I was transferred from One Location (A) to Another Location (B); the distance is 1200 km between the Locations. Since My Native Location (C) is not 'A', during the shifting, my Household's One part has been shifted to My Native Location (C) and another has been sent to Location B. Consequently, the bill claimed was less than the maximum eligibility of my level. For example, if the eligibility is Rs. 25,000, the claim was for Rs. 24,900 with the bill.

As per the HR policy of my company, "The Family Relocation Allowance shall include travel to the Transferred Location with the Family, Cost of Temporary Accommodation, Shifting Allowances, and Any other expense in Connection with the Transfer."

We are calculating the maximum allowances based on kilometers, for a transferred employee from the nearest railway station of Location A to the nearest railway station of Location B. Is this correct?

Please clear my doubts.

Thanks, James

Well, James, the policy states "Any other expense in connection with transfer," which I presume would be from A to B and/or A to C, whatever you have spent as an expense due to a change in location or transfer of job. Please read the policy carefully. Is your company a government enterprise?

Thank you for the swift response, sir. No, it is private. Anyway, due to my transfer, I've shifted in two ways because this is a permanent transfer. A is not my native place. The distance was too long, so I decided to send one part to the native location (C) which is located nearby 400 km from (A) only.

The full line of the policy is as follows:

''Family Relocation Allowance shall include travel to the Transferred Location with the Family, Cost of Temporary Accommodation, Shifting Allowances, and Any other expense in Connection with the Transfer.''

Am I right (A to B + A to C = Claimed in Bill less than eligibility)? Please advise.

Thanks,
James

Well, James, the policy clearly states that "Allowance shall include travel to the TRANSFERRED LOCATION." In this case, the company may dispute your claims from A to C, as C is not your "Transferred Location." The subsequent clause "and any other expense in connection with the transfer" is related to the 'TRANSFERRED LOCATION.'

I feel the company will not accept your expenses for charges "from A to C." However, you may make a valid case with your company by explaining that since the distance was far and it was not feasible for you to transfer the entire household, you had to transfer back a few items to your hometown. I hope this might be registered in your company records as your permanent address, allowing you to claim your "transfer allowance" within the budget allocated for the same.

Please do update on the final outcome.

Yes. Thanks for the clarification., Beyond the policy there may be a chance to accept tranfer the goods from A to C as my request by considering the Total distance from A to B; i.e 1200km.apprx.

At best, it is your employer’s discretion. Chances are not bright, since such exceptions will lead to more and similar 'requests' and the policy will go for a toss. Sorry for being blunt.
