    Steps to conduct a HR Audit:

    Pre-Audit Self Assessment
    Have the senior management complete a Pre-Audit Self Assessment Questionnaire to establish the strategic HR direction of the business (where the company wants to be). The answers to this questionnaire will enable you to priortize the action plans needed to close the gap(s) upon completion of the audit.

    This is critical as you want to effectively invest time and resources closing the most pressing gaps that are needed to achieve the company's goals and objectives.

    On-Site Review
    Two activities need to be carried out in this step:
    • Interview employees to share their feedback based on their actual personal HR experiences during their course of work. Another approach is to have employees complete a HR Audit Questionnaire (just like the one Alphonse has attached).

    Whichever approach you used, the data will be analyzed and compared to the formal written HR policies, procedures and SOPs. This will provide further insight and confirming gaps, if any.
    • 2nd activity is to conduct a thorough review on all Personal Files. This is done to determine completeness of data; consistency in administration and compliance with statutory requirement.

    Result Presentation to Management
    All findings must be collated into a report (to be used as the Action Plans Roadmap) and presented to Management for their understanding and action planning.

    Result Sharing with Employees
    While this is an optional step, it is highly recommended that findings are shared with employees in a timely manner as their hope to see improvement were raised when they spent time being interviewed by you or completing the questionnaire.

    Developing Action Plans
    With results and critical areas identified, management must decide upon the most effective means to improve those areas.

  • There are many types of audits in HR. It depends on the auditor for which function they want to audit. For example, Payroll, HR Compliances, etc. If this audit is not a surprise, then they must share the area of the audit along with a checklist with you.
