    Thanks for your concern and am doing very good. How are you? Pls check the attachement for the revision letter and what do you mean by farewell letter, we normally have Resignation Acceptance letter, Relieving Letter and Recovery Letter. Do let me know what you are looking out for.

    The sample copy of appointment letter is very good but it lacks disclosure of certain crucial terms of employment. These are

    1.Supervision : The new Joinee will be reporting to whom. Who will give necessary command or discuss the issues for achieving the company goal. Designation to which reporting will be initially done is required to be mentioned.

    2. Attendance : System of attendance and working schedules are required to be mentioned in the appointment letter for better understanding by new joinee.

    3. Termination : This clause is missing and needs to be incorporated. It must be made clear in the beginning it self that how and when services can be terminated by either side.

    4. Communication : It must be clarified in the appointment letter the mode of communication. It makes both employer and employee responsible for adopting systematic means of communication.

    5. Retirement : This clause is also missing. One cannot continue beyond a particular age. You need to specify the age of retirement. This helps HR to plan accordingly and for management to plan benefits for retiring employees. Long term manpower planning depends upon this clause.

    6. Increment : This clause may be added to appointment letter. But this is applicable where an organisation works in structured manner, which presently is at its minimum.

    I think if we consider the above along with sample appointment letter. The new letter will be quite near to the perfect appointment letter.

    Thanks for your suggestions but for your information what I have given here is only the appointment letter usually along with the Appointment Letter we used to give the following annexures 1. HR Extracts - which talks about all the points you have mentioned. 2. STI Plan 3. Pre - Medical Letter.

    A few points to be borne in mind while designing an appoint ment letter.

    APPOINTMENT LETTERS

    When the Employer engages a person to do the work in connection with the Establishment an employer-employee relationship is established. In order to give a legal sanction to this relationship, an appointment order is issued. This forms a integral part of the employees binding to the company and the parameters under which he has to conduct himself within the organisation.

    By employing a person for work the status "employer" is given to the hand of the organisation. Hence, it is not necessary to have a large organisation, to get this status even a small scale unit on a trading concern would have this relationship.

    When a relationship is established it is imperative that the terms are furnished in the interest of both the parties. Though there is no extraordinary law on this subject, the related problems could be in the absence of a letter being issued. The system requires the following basis: categorisation :

    Name and Address

    Designation

    Wage / Salary / Scale

    Period of appointment

    Job responsibility and conduct

    Procedure for termination

    The following types of letters are in general use with specific letters made for certain special category of personnel :

    Temporary

    Probation

    Confirmation

    Trainee

    Contractual

    Specific Contract

    The issuing of letters in a well understood system to build a healthy relationship, confidence and a demarcated way of human functions.
