Hi All,
Hope everyone is doing well.
Does anyone know how to calculate the employee satisfaction index, i.e., when we give employees a form to fill out (employee feedback form)? From that form, how will we come to know the level of satisfaction of employees in a particular company? Does anyone know about it? Please reply back soon if anyone knows any formula to calculate this Employee Satisfaction Index.
Thanks & Regards,

Dear Monika,
The practice that we follow in my company for calculating the Employee Satisfaction Index is:
1. There is a five-point scale in the questionnaire based on which the employee responses range from Strongly Agree, Agree, Undecided, Disagree, Strongly Disagree.
2. The negative and positive questions are then aligned so that the remarks range from Strongly agree (5) to Strongly Disagree (1). This is just in case your questionnaire has some negative questions to ensure that the employees have not simply marked the questionnaire without reading.
3. The total number of questions with answers against each response is calculated (5, 4, 3, 2, 1).
4. The total number of questions answered is calculated (just in case somebody has avoided marking an answer for a particular question in the questionnaire) (TOTAL).
5. The TOTAL SCORE RECEIVED is calculated as follows: (total number of responses of 5 * 5) + (total number of responses of 4 * 4) + (total number of responses of 3 * 3) + (total number of responses of 2 * 2) + (total number of responses of 1 * 1).
6. Calculate the MAXIMUM TOTAL SCORE, which is the TOTAL (point 4) * 5.
7. This gives the INDEX, which is the TOTAL SCORE RECEIVED / MAXIMUM TOTAL SCORE * 100.
Hope this helps you. 😊

Hi Swapna,
Thank you very much for your reply. Can I have your email id, please? Actually, the formula is not clear to me, especially the second last point (Pt 4*5). What is that? Would it be possible for you to explain it to me with some examples now? I would really appreciate it.
Thanks & Regards,

Hi Monika,
I would agree with Sapna more or less. The responses to certain key questions, such as likelihood of recommending, continuance, job clarity, job satisfaction, etc., would be considered. This may differ depending upon your firm's objectives. These would be given a specific weightage, and accordingly, each individual's/team's satisfaction index.

Hi! Calculation of employee satisfaction index is confusing for many. Some use weighted averages, while others use different methods. I need someone who can explain how to calculate the employee satisfaction index in a simple way, preferably with an example. Thank you all.

Dear Monika,
There is a simpler way to calculate the overall satisfaction index.
In your questionnaire, is there a question that asked, "Overall, I am satisfied with ABC Company as the place to work," or something along that line? The score for this question is usually used to calculate the overall employee satisfaction index, and many organizations also use this as a KPI.
Using the 5-point scale: 1-Strongly Disagree, 2-Disagree, 3-Neutral, 4-Agree, 5-Strongly Agree, you now do a frequency count to derive how many responses to each scale. Usually, Strongly Disagree and Disagree will be grouped under "Unfavorable," Neutral remains Neutral, and Agree and Strongly Agree under "Favorable."
If the total responses to this question are 220, and 120 were from the Agree and Strongly Agree categories, to calculate the index, use just 120 divided by 220 * 100 = 55%. If your company's threshold is identified as 65%, the 55% means that much has to be done to improve employee engagement over the year based on the rest of the ESS findings.
While other questions may be added, modified, or changed each time an ESS is conducted, this particular question will always remain as it measures year-on-year comparison of the satisfaction index.

Hi there,
Why don’t you do your survey in excel format. Add % value for each question verses total no of existing employee should give excel command to give a graphical presentation of the response. Irrespective to no of responses

Dear Swapna Nair,
I am in the process of developing a system to calculate the employee satisfaction index. I read your comment on calculating ESI. I would appreciate it if you could send me your email ID so I can get some clarifications on calculating the ESI.
Thank you very much.

Hi there,
I ran an employee satisfaction survey for my ex-employer in Dec. 2008 but I did it in excel from the beginning
•I decided which areas am evaluating (motivation, service, communication, management support, environment, employees benefits)
•I gave each area a mathematical value with scale from 1 to 5 Against total no of employees in the organization
•Tied the total to a graph (so I can have a visual response for each question
•Did the Questionnaire in the Organisation Intranet.
•Sent web page link to all employees gave the a dead line for response
•At the end of the dead line I had automatic visual graphical representation of the response.
•Then I wrote a report interpreting these graphical data to the management.
If you wish you can send me your response and questions I can do it in excel for you & give you a graphical representation of these responses.

Hi Autumn and Regaleagle,
Suppose we distribute 10 questionnaires to staff, each containing 25 questions. This means the total number of answers for Agree and Strongly Agree would be 50, and the total number of questions would be 25 * 10 = 250.
So,
1. Should we calculate the overall questions (from 10 questionnaires) as 50 (Agree and Strongly Agree) out of 250 (overall questions in 10 question papers)? The formula would be (50 / 250 * 100 = 20%).
2. Should we calculate each question separately or each response separately?
Please explain what 120 or what is 220.
Thank you.
