Dear Prerna,

You can write a mail similar to one I am writing below after making changes according to your understanding:

Dear Team,

We are happy to inform you that we have applied for ESI code and same will be applicable from next month onwards.

ESI (Employee State Insurance) gives you following benefits: sickness, maternity, temporary or permanent disablement, Occupational disease or death due to employment injury, resulting in loss of wages. What else, dependents in your family are also covered without any extra charges. For more details you can log on to ESIC Website

A nominal amount of 1.75% of your gross salary will be deducted on your part and Management will contribute 4.75% of your salary in accordance with the ESIC Act 1948. This law is applicable for Employees getting gross salary up to Rs15k.

Soon you will be given ESI forms to fill. Kindly fill all the details

We request you you to kindly extend your full support. We respect your apprehensions and any query in this regard is welcomed.

My pleasure Prema. You may have to face wrath in the beginning as their take home salary will be reduced to some extent but once employees get to know the benefits, they will willingly complete all the formalities. Other than mail, you can also take a session to educate employees. This will save your time as many queries will be common and you don't have to answer each one separately.
