Hi Shilpa,
Payroll is the salary processing system.
Payroll can be seen from two aspects. One is from HR side and other from commercial people side. The HR persons process the payroll by means of sending attendance details or better say LWP details and other complete details that an employee is going to get in a particular month.
And after receiving those details the commercial people start making entry into payroll software and can be said start salary processing.

as you explained me that payroll can be used in 2 terms but.................
as i heard its the term wherein hr will work on the salary of the employees. hr should be speciliased in the the field of salary................
am i right? correct me if im wrong or explain me how to be specilised in this subject :-)

Hi Shilpa,

Well while processing salary fro a particular month we the HR personals provide complete LWP (Leave without Pay) details to the commercial dept.

While calculating LWP, we prepare the attendance sheet with teh weekly offs. And apart from weekly offs we check how many days an employee is absent, out of which how many days he was on leave that we crosscheck with leave applications. If the particular employee has given the approved leave application form and that leave is been there in his account then we put him on leave.

But If the person has not submitted the leave application form or he doesn't have any leave in his balance then for that particular day that employee will be assumed absent, and we will deduct his salary for that day.

Similarly if there is any provision to provide one days extra salary for an specific day if the employee does come, then we calculate one day extra salary for those employees who were present on that day.

ONE MORE PROBLEM
one of the employe is comming late to the office on daily basis. he even do not bother to inform before he decide about not comming to the office.
my manager is asking me to issue a letter which says'if he do not inform or come in time he will be terminated with one month notice'.
kindly send me the format and send me the procedure to follow up with such problem in the company. let me know what all i need to see before issueing such a letter or takinhg such crucial action on employee.
please help. i need it. really urgent.

Hi Shilpa,
Sorry to reply you little bit late. Yes there are so many Payroll softwares been available in the market. Mainly based on Visual Basic, Foxpro, MS Access etc..
Shilpa to cope up with these kind of problems you just prepare an amendment in the existing HR policy, those who will come late after the 15 minutes of scheduled time, after doing so for more than 3 days there will be Leave without pay for half day or you can say salary of half day will be deducted.
I hope it would be more effective after coming into practice.
And regarding warning letter you have a talk with him and make him clear that these are the penalty which we are going to implement, so change your schedules. And try to know the exact reason behind that, because we are not in the system to make it more complex we are in the system to run it more smooth.

the company which im working with is small but the work we do is much important and big too.
but here, HR dept is not so strong as others. they think hr as reception,assistant,admin.................
whenever i go and take initiation for something for employees top level management, they just ignore and tell will see it later.
attrition has been increased so much that in 2 months almost 6 employees left the company. they were more proficient and talented. because of no respect and good/conviencing policies it all happened.
i will try to take take such a decision as you said earlier regarding the attendance.
people dont bother to come early to the office.
i dont know how i will deal with this. but if you have any sample of such a letter kindly send it to me please. (urgent)

Welcome yours all mine pleasures.

Hahhahahaa.. seems this is your 1st Job, am i right? Ok no problem whatever they think about HR but you have a good platform to learn the things. You just try to implement the things with the help of employees, for this have word with employees.. let them understand you are doing all these things for their betterment. If they will learn the things and they will coperate you in implementation then definitely your Management will also accept the things and will definitely appreciate your work.

BTW find below the format of the same as you require.

It has been observed that you use to report office late without prior permission of the concerned authorities, resulting in willful insubordination and gross negligence of duties, in your capacity as _______(Designation).



Coming late to the office without prior intimation is a misconduct for which you are making yourself liable for necessary action.

You are hereby warned to refrain from such activities; failure to do so shall invoke appropriate action may be termination of your services too.

You are further advised to submit a written explanation on your unauthorized coming late to the office as soon as you receive this letter.

Kindly treat this as very urgent.

Kindly submit the duly signed duplicate copy of the same.

thanks buddy.
this is not new job for me. this is my 2nd job in 3 years. i joined this company recently 5 months back.
and my previous company was so professional that this company's policy. (i should say there is no policy atall in the company) is irritating day by day. they just know how to impress others and dress well and talk attractivly. i think you are getting my point.
even here all employees are frustrated, no one come to the office heartly. they just come not to be empty hand at the end of the month. pay is good but in that also politics. i know everywhere there is politics but how to handle it is a big problem.....................
