Hi,
I had to design one process on "Employee of the Quarter Reward". We are an IT company of employee strength 50. There are different teams like of Java, PHP, Delphi, .net, Marketing. So, I need one proper process which can be followed in order to evaluate the employees on monthly basis.
We are going to give Rs 5000/- to the winner.
Few things are in my mind like we can judge them on performance, meeting deadlines, revenue generation, interpersonal relations etc.
But I need a complete process for this. As my management dont want to do same appraisal process from supervisors of form filling that we do in yearly appraisal.
Plz help.

Very good initiative Keerat. It would be great if you can provide an certificate too and publish the employee name with their key accomplishments.

Employee of the Month can be choosed/evaluated based on the following factors where in which you may require the help from all the departmental heads too.

  • Attendance
  • Attitude/ Behaviour skills
  • Time Management Skills
  • Areas of additional responsibilities
  • Work related achievements
  • In what ways has this person's performance been outstanding ?
  • Role model to others?
  • Team Spirit
  • Beyond the call of duty
  • Problem solving ability
  • Creativity
  • Leadership skills
  • Others add if any---- etc.......
On monthly basis get all the required inputs from each departmental head( use official email - avoid verbal communication) and as a HR evaluate/screen on some grounds and finally call everyone for a meeting to announce the award.

thanks a lot for the reply
even I had suggested the same to mgt
but the problem is that mgt is saying that if we follow this then it will be similar to annual appraisal.
We need something simple involving less time and efforts and different from appraisal method. otherwise annual appraisal and the employee of quarter both process will be the same.

1. Ok then prepare a one page templete which consists of five questions and ask each of your department head to fill it at quarterly. Based on all their comments choose the nominee for Best employee award.

Herewith i have attached a templete that i use in my company for Pier recognition award.

2. If this doesnt work then a simple way to execute this is --- Let each department head choose a member from their team(Mentioning the reason for nominating the nominee name and their key role played) and mail their name to the HR. Now HR and Management can decide on it.

3. If this doesnt work then ---- Quarterly call everyone for a meeting(Including management) and let each member convey what they have accomplished for the last 3months(Give 5min each). Let management announce the name.

4. If this doesnt work ---- then ask your employees to send Time sheet to the HR on monthly basis which includes the synopsis of the work that they have performed for the entire month. Based on that choose the Best employee.

5. If this doesnt work then --- HR should do a survey to find out the star performers either by interacting with the Department heads or by interacting with the employees itself. This includes both performance as well as character. HR can easily come to an conclusion on whom to nominate.

The most important thing is that HR should always be ready with an answer to face the questions from the employees because everyone assume that they have done their best and they are the best. Everyone will be curious to know on what grounds you have chosed a nominee and why not their name has been included. When we choose an employee out of 50 as Best employee then we should be in a position to let others know how is this particular employee different/best/unique from others as well as why was he/she eligible for this award.

If you need something simple involving less time and efforts and different from appraisal method...
Ask HOD are management - who is best in his department or office and announce that particular person as a employee of the month.
Hope you will find some solution

you can do like this also..
send the nomination form to all you employees and ask them to nominate any one of the employee from organization.
who will get more naminations that employee is the winner (employee of the month).

Sorry to interfere yaar just wanted to express the other side of this nomination option. Because as a HR we should always be ready with answers for any question raised by the remaining 49employees like how effective do you think this process is? and do you think that u have nominated the right person? Justify.

If this is a union election then what you suggest can be considered but this award is based on performance and character. How can one employee know the performance stratergy of another employee???? Especially when they belong to different teams.

If they are from the same team then yes i agree to what you say but here all 50employees have to give their nominations and there are chances that not all 50employees are known to each other as they belong to different teams and their nature of job also differs. So this nomination will not run in terms of performance or character but it runs in favour of our friends or known person.

What if there are politics within the department? What if due to personal grudge the department head doesnt announce the actual name of star performer in their team? -- So the actual star performer will not be recognised, employee will get demotivated, will lose interest on his job and finally will look out for a change.

As these awards serve as a motivating path to all the employees i feel its good if we collect proper data from the Head too as well as HR should so a small survey on the same. Taking less time and effort into consideration no HR /Management owe any rights to end up in taking wrong decisions.

Ok lets assume there are 5 departments then u will get 5employee names announced by their respective heads right and all 5 cannot be awarded as Best employee. So u need to choose only one out of five. On what basis will you choose??????? so ultimately you need a official data about each employee nominated and only then HR can come to a decision.

So in order to choose that one employee HR should get the exact reason and their key accomplishments from their respective heads (like on what grounds had they suggested that employee name). Based on the data recieved on the nominated employees HR can choose the Best employee. Hope you agree with me.

You point also is right...
In my last company (there was 1500 Emp.) we did same process (but dept. wise)... it was sucessed.
It was a 50 emp. organization i dont think there should be any diffculites to process the same.
i feel that it will take less time and effective (as per keerat requirement).
