Hi,

You can use this below points + See the form attached-

Travel reimbursements for interview candidates:

• The individual would be expected to pay the expenses directly and then be

reimbursed, except in a case where that would prove to be an extreme financial

hardship

• Reimbursement of travel expenses for candidates is permitted if approved by the reporting HR.

• Reimbursement will be allowed only for finalists for a position. It is expected that telephone interviews only will be used in the initial round of interviews for those candidates who cannot be present for the interview.

• There is a maximum cap of 25000/-INR for any reimbursement including Lodging/Food/Travel/Misc. Expenses.

• Candidates will be reimbursed for reasonable costs, which could include the if they travel by car, railroad costs, or airline travel.

Preferred Mode of Travel for Interviewee-



Trainees/Executives/Associate Mgrs/Mgrs - 3rd AC train fare/bus

AGM/GM/AVP - Economy air fare/1st class AC train

VP/EVP/President/CEO - Business class or actuals.

Apart from this, special approvals can be given by the concerned HOD in some cases like if the candidate is coming from a long distance or the interview has to be scheduled immediately etc.

Mani has given adequate details. Some additional points to be born in mind to frame the reimbursement policy.
1) The mode and class by which the candidate shall travel shall be commensurate with the post for which the candidate is appearing for interviews.
2) usually travel expenses are reimbursed. It all depends up on the company's policy to reimburse boarding and lodging charges.
3) reimbursement shall be made on the submission of actual bills in proof of having travelled by the stipulated mode and class.
4) devise a suitable format for this to be filled in by the candidates.

Sub: Interviewee Reimbursement

It is simple madam...

* For local candidates - NOTHING

* For outstations candidate....

a. If the interview for the lower category i.e., below the Manager level, you can pay a First Class or AC class Train fare... for which normally no company insists Travel tickets. OR you may ask the interviewee to produce one way Travel Ticket for your records purpose.

* b. If the interview for the category of Manger and above level you may re-imburse return Economy Air Fare... Pl. check up your company whether the company is ready to provide hotel accommodation for one night. If yes, you may inform the interviewee well in advance.... otherwise you need not inform...

* If the interview for the category for CEO or Mg.Director you will have to pay the Club Class Air Fare along with the Hotel Accommodation for one or two nights according to the interview process i.e., if the interviewee has to stay for the second day you will have to shell out the hotel accommodation for 2nd day also because on your insist only he may extend one more day for the interview purpose.

If you wish to select a good HR for your company, and if you call for walk interview, all kinds of candidates are expected to peep-in. But you invite resumes by advertising in the required newspapers, you can attract talents. If you wish to attract good talents, you have to pay the to and fro conveyance, if the candidate is head-quartered at a distant place from the venue of the interview. Hence the travel reimbursement is being paid. The image of the organization is also boozed up. The candidate establishes a positive attitude upon the company. He/She trusts the company a lot. If you do not reimburse the travel expenses or the boarding and lodging or you reimburse an amount which is sufficing the travel expenses, local conveyance, boarding and lodging or a consolidated amount to this effect will attract your objective. But you have to select the right person for the interview, then only all the above of prudent, otherwise you are incurring additional cost to your company. You have to maintain your image of your company but at the same time you must choose the right talent with legitimate expenses.

Dear All;
It depends upon the shortage of the candidates. Where there are plenty without asking, no one would reimburse anything. But where you do not get candidates for any skill, either worker or staff or management, you have to attract them right from the beginning. This includes telephonic interviews, reimbursement of travel and stay etc. Asking for the bills is also optional because travel by taxi there is no receipt.
There is absolutely no hard and fast rule or any law on the subject. it only depends.

There is no philosophy behind the payment. The logic is quite simple. If you are an established organisation and want good talent, then you spend money to attract talent. A prospective candidate has to take leave from his present organisation and prepare himself to meet your representatives for interview. So while he is spending his time and efforts to get recruited, from your end, you spend a bit of money to defray his travel costs to attend the interview. It is for mutual convenience and benefit.

How many companies actually pay travel cost for interviews any more ?
The attitude I see is : you want a job, you come for interview
Companies will naturally pay for a candidate who they desperately want (head hunted cases)
I would like to know from members how many companies actually pay travel cost for interviews today (we are debating this at a clients place)

A large number of companies do pay, no doubt in a proper voucher format. I have done it myself for several years in the past.
At times, when the economy is fluctuating wildly, yoyoing, at times, then it becomes a question of who is desperate for what - comapnies want good candidates or the candidates want good role in leading organisations...
Very basic theory on economy is: Price is determined, where demand meets supply !

Like N.K. Sundaram mentioned, many companies do reimburse the Interview travel expenses.
In fact, we insist all our clients to do so, and most agree, even if they haven't been doing it earlier.
The simple logic, more than the demand-supply angle, is that it's the COMPANY'S image that takes a beating, NOT the candidate's in such instances. A professionally-run company is always very particular of it's Corporate branding/image--and what better way to project it to convey that they care for their employees with this small step?
Usually the companies look @ it in another way also: for the individual, the comparative costs of bearing the travel expense is HIGHER [vis-a-vis his/her salary/earnings] THAN it is for the company--hope you get the point.
It all depends on the mentality of the guys @ the helm in the company--whether their focus is to save money [a sort of 'penny-wise, pound-foolish' scenario] OR investing a Pound now to reap intangible gains later.
