As this is a forum where we find innovative solutions to resolve day-to-day queries, problems, issues....I would like to have few looks on this by U all ...as well if any can contribute any suggestions or practices or sense of humour @ this point of time will be gr8
Say, In my organisation V have organised for a trip to Konkan...But the estimated expenditure amount is over the budget...as this is the Ist time V have organised for a night stay....2 day trip.
Say the budgeted amt kept aside is 15 K,,,but now the expenditure is cmg between 25-30K incldg commuting, lodging & Boarding..
So, now the question is V should go for the trip but in the budgeted amount set aside of say 15 K..
What option can I suggest to the management which shld be fair for both mgmt & the staff...
Well, I have given another option to look for a place nearby...still it amounts to be 25K..........

Hi Sumathi,
If you look hr perspective side you have to look both the sides. So cancel staying and make the trip or put it to nearest to your place. Find out with the 3 or 4 travel agents. They will give you different places and prices. If you are taking your employees for the first time den make the trip more adventourously. So plan like which includes games and all. So the prices may go up slightly. So make a budget plan for 20k to 25k. Then the employey will be satisfy.

Yes, It has been tried by changing the destination frm Konkan to Mumbai outskirts..But everyone is keen upon overnight stay..& not ready for a day's picnic...
V have organised for a trip whereby there is an extra cost package for various activities---
Rappelling, Rock climbing, Valley crossing, Mountain biking, Rifle shooting
Swimming, Football / cricket, DJ party, Campfire / barbeque, Night treasure hunt
I'm on the way to suggest mgmt that instead of seeking for contribution...V shall deduct directly frm their salary to meet the extra cost on their approval....
Still looking for better option .........

That could be about bearing approx 500/- per head as V r 20 intesrested for the trip now..
The worry behind that is there could be drop-outs ... may result in less number...which V r not looking out for..
Another issue may be raised that the CTC of a person may cover all the investment that an Orgn makes towards an employee...though I'm capable enough to handle it....still dont want to make things complicated..

DONT CANCEL THE TRIP UNDER ANY COST ESPECIALLY IF THE EMPLOYEE ARE WELL INFORMED IN ADVANCE. BECAUSE IF YOU CANCEL THE TRIP THEN THE EMPLOYEE WILL SAY THAT THE COMPANY IS MISER AND DONT GIVE A DAMN ABOUT THE EMPLOYEES.
WHAT I WOULD SUGGEST IS TELL YOUR MANAGEMENT,TO SEE THIS TRIP NOT FROM THE POINT OF VIEW OF EMPLOYEE WELFARE EXPENDITURE BUT AS A INTERNAL MARKETING OR PR ACTIVITY FOR THE COMPANY AMONG THE EMPLOYEES.
IF THE MANAGEMENT DONT LISTEN TO INCUR ADDITIONAL COST THEN,INFORM THE EMPLOYEES THAT THE TRIP CAN NOT BE OPERATED AS THERE IS HUGE MESS IN KONKAN REGION DUE TO RAINS,SO THAT IT IS PROJECTED THAT THE TRIP GOT CANCELED BECAUSE THE COMPANY WAS CONCERNED ABOUT THE SAFETY OF EMPLOYEES AND BECAUSE OF THE COST.

Well, V have told with the safety & well-being of the Employee...the trip got cancelled to Konkan region..
But now, Employees are cmg out with the near & nearest destinations with an overnight stay as I hv mentioned earlier....But agin the exp is cmg upto 25 K incldg commuting, lodging & boarding...
Hope so....asking Employees to make contri is the last resort with no options...

PLEASE DO NOT DO THAT,IT WILL WRNG AGAINST YOU,BEST IS CONVINCE YOUR MANAGEMENT,OR PUT 10K OR 15K FROM YOUR POCKET,THIS WILL FORCE THE MANAGEMENT TO REIMBURSE YOUR COST,IF THEY DONT THEN THEY WILL FEEL ASHAMED ABOUT YOU PAYING THE COST OF THE EMPLOYEES

I can do this as I hv done before also for petty expenditures...this is for a huge amount as my management may not consider....Moreover, I shall be shifting to B'lor in couple of days time.... So, better not to do that.
Hope my management may get convinced as the reactions coming out from their side seems to be positive now....Hence they shall be bearing the expenses...whatever shld happen will be lasting for today as V need to start on Saturday....
Anyway I shll come out with a positive resp in my next post -- my belief.

Hi Sumathi,
See the employees only so interested to go for the trip. Then dont cancel, go ahead. Tell your employer trip cant be cancelled. Instead tell them to pay 20k and remaining you people are bearin it up. Then employer will definitely agree for this. And in this case both the sides will be happy. If employees are ready to bear the remaining cost den there is no issue, you can take them.......

No ... canno do that..saying that V bear the remaining expenses...as I could sense that there could be drop-outs for the trip in case of seeking them to bear the minm cost...may get wrong impression on the mgmt saying...not employee-friendly..
So, now...finally the management has agreed upon to take us for the trip at their own cost......
To be more clear...the management had that set in mind to take the emp for excursion whatever could be the cost....they just wanted to know which r the ways that V can handle the situation in case there is a limit in budget................... could sense this.
