Thanks for your response. Actually there are 4 employees in our organisation who are reaching at the retiring age in our company, thus mgmt has asked me to design a policy/procedure as to how should the whole process be organised, starting from informing the employee well in advance to his retiring day. If anybody of you, has some policy on this would appreicate if you can share it with me.
according to my understation the following steps can be done i.e.:
(1) sending a formal letter to the employee mentioning about this retiring date.
(2) after receiving the confirmation letter from the employee, acceptance of his formal retirement and informing him that he can clear his settlement i.e. full & final from the accounts department.
(3)sending a formal e-mail to all the unit concerned w.r.t the employee's retirement and his contribution in the organisation till date.
(4)final day : giving all the exp, salary certificates to him and complete the full & final settlement process.
(5) organising a farewell party for him.
The above is mine own thoughts, if somebody has the same laid down in a format/policy, thus would highly appreciate if the same can be shared with me.

Actually what you are asking for is Retirement Policy and not Super annuation policy.
There is a difference between the both.
As per you post, I think the procedure you have mentioned is correct, but if your employer agrees, arrange for a SERVICE AWARD for the employee, if his tenure with the company was more than 10 years.
Send a letter to the employee briefing his achievements and performance in the company, stating how much the company will miss him.
