What is your organisation's role.
Have you implemented Mentor system in your organisation.
Create some group of trainees / freshers upto certain years of age area wise, languagewise, statewise, countrywise (whatever method please discuss with your organisation) and create number of Buddy groups. Give them some names Tiger group, Eagles group etc.
Make one among them who is senior as buddy leader and detail a senior staff member as their mentor who will guide, guard them and keep the record for their day to day activities as well as let them keep informed their programmes.
The Buddy groups can report their Mentors for any grievances which needs to be redressed.

I am working as HR executive and here i would like to introduce buddy sytem for only experienced emp.
how ever for fresher/trinees their mentors will take care.
Is there any invitaion format is there to share with the emp?
Even I felt your idea is good for making different group to implement this system.

You can call for a weekend get together and during that you can declare about the buddy system to all the employees.
Before organising such events and innovations please have a discussion on the subject with your management and put up an file note to that effect and keep the record for that effect.

Becoming a new member of an organization can be daunting. In many organizations there is a lot to learn and the volunteer pool is a diverse group of people with different backgrounds and interests. Feeling unwelcome in a volunteer position can be very damaging to commitment levels, and volunteers who feel welcome and valued are more likely to continue to participate in your organization. One method for building relationships and skills is to put in place a buddy system or informal mentoring framework. A “buddy system” can be used to share skills, provide additional induction support or just as importantly, to introduce a volunteer to the culture and expectations of your organization.

Buddy systems vary widely from small informal matches to large-scale mentoring frameworks with detailed responsibilities for mentors and mentorees.

A simple guide to buddy systems developed by the Sustaining Volunteerism Initiative is the Thrift and Credit Societies and a common Thrift Shop. Activities undertaken by volunteers in the Thrift Shop require adherence to a range of standards for the sorting of goods which are reflective of health and safety regulations as well as matching the needs of buyers.

Experienced volunteers gain the benefit of sharing their experience and skills with new workers, while new volunteers learn the skills they need from their “buddies” and feel welcomed and supported by the organization to fulfill their volunteer role.
