Dear Seniors,

In my organization we celebrating employee birthday in the month last day. Due to financial crises management are enable to bear that cost for such kind of celebrations. So as HR for the organization I would like to motivate employees for contribution of Rs. 50-100 in employee fund. The amount will be directly deducted from their salary. Can any one help me how to write a mail to all of employee which motivates them and they easily get ready to contribute amount for celebration.

Hello Ankita,
Such type of celebration should be left on the teams.
Let every single team decide how do they want to celebrate b'day of their colleague.
The contribution can vary as per the size of the team.
In the mail, you can mention about this informal activity and also seek employee's view.

Hi, It will be better that let the team decides whether they are going for contribution or not. You cant force them to shell out 50-100 bucks.

IF IT A TREND IN YOUR ORGANISATION THEN YOU CAN CONTUNUE IT WITH SOME GOOD AND NEW IDEAS SUCH AS ON THE BIRTHDAY CELEBRATION DAY MAKE SOME QUIZ COMPETATION SUCH AS SINGING, DEBATE, DANCING ETC. AND ALSO PROVIDE SOME GIFTS TO THEM IT WILL ENCOURAGE THEM TO MAKE THE ADDITION IN THE TERMS OF AMOUNT.

hi ankita, not sure if you can deduct for this from the employees salary. alternatively ask them to contribute in the last week this amount.

For Birthday Celebrations contributions should not be taken from Employees. Also they should not be forced to do so. If there are financial crisis, stop celebrating the same or just give a card.

Seeking contribution to substitute what was organization's policy earlier may not be good idea. As it reflects organization in poor light . More so it starts pinching many employees for variety of reasons.
Be more creative & ask team members to wish by e-mail in may be -
poem form-couplets
humorous form-joke
remembering a memorable birthday of the self
We touch emotions of an employee by celebrating occasions like his B'day. You may still make him feel important on that day by being creative.

Dear All,

Would like to share an exciting initiative with you all.

As we all knew that we have been celebrating team birthdays with own/team contributions. We thought of involving each and every employee in contributing towards such celebrations to make the moments a memorable one. Lets contribute Rs.50/- (Rupees fifty only) each per month for celebrating special occasions such as birthdays,

get-togethers, Outings, buying wedding gifts etc.

This is an initiative to bring in excitement and joy by celebrating every moment of our life and please treat this as optional for employee and there is no restriction on contribution, however, by joining hands together we can do wonders.

Mmmmm… thinking of an appropriate name for this fund?

Let’s name it… share a suitable name with us.

Importantly, account of expenditure will be maintained for the amount collected and would be available for team access at all times.

Your valuable suggestions and Ideas are highly appreciated.
