I want to send a mail to remove ex employees from list of Salary Accounts. We get their letters at our office so if we mail to the bank regarding weeding out these employees the letters will also stop.

Removal of ex employees name from bank list is a routine job.
When resignation is accepted and final day of clearance,names of such employees can be moved out to separate list for final bank payments but out of the salary list.
Automatically when last payments are made,company will have their names deleted fromany payment list.
All this should be made into a clear process for payroll and Hr staff to follow.

Hi Sir,
But we dont have such a process as the last payment or final clearance is done through cheque and so we want to inform the bank officials to remove them from our list and stop sending theirs letters to our office. I spoke to my RM he has asked me to put a mail about weeding out of ex employees

Well you have to design systems/processes which work to cover problems and give you control over activities and avoid chances of payments going to wrong a/cs or for people who have exited.People who have exited should not be having their bank a/c numbers in current employee list at any cost.
Weeding out of ex employees from company bank a/c have to be done by HR and Finance department working together.

Address the below letter to the concerned Bank.
Dear Sir/Madam,
Sub: Closure of Salary Accounts
This is to inform you that the following employees whose list is attached herewith , have left our company and we shall not be crediting their salary accounts.
We request you to therefore close their salary accounts:
Name Account No. Date of Leaving.
It is also requested to change their correspondence address to their residential address
Thank you,

If you do this the accounts will automatically get deleted form your company's list with the Bank.
However, each bank has a policy whereby if a Salary account is not credited for two months continuously, it gets converted to a Savings account and Maintaining Minimum Balance Charges become applicable.
