We need to monitor the drivers in time ...out time ..their trips .... km's done in a day .. etc .

Please make it simple
Print your company's Name in top centre
Give Caption "LOG SHEET"
Regn No_______________ Vehicle Name ______________________
Driver Name ________________________ Date _________________
and Make some columns for making entry
Start Time Start Km Close Time Close Km Place visited User Name User Sign
Daily you collect the Log sheet to avoid mass corruption.
Check the user details and if the entry made is genuine please accept if there is any wrong thing please get clarified from driver and from User.
If you make regular entry it will be easy for you to make bills also on monthly basis.

also do make a policy for usage of Vehicles
the person taking should get approval from the authorised person
the security person must keep track of starting km and note in teh log sheet
while ending the using person must write teh km
if the vehicle is coming back to destination the security to note closing km

Dear Anuja,
If you are in Delhi like metro cities or near any cantonment. you can easily get vehicle log book from any military stores. I welcome others guidance. I suggest one more thing. You workout the particular vehicles milage test from any standard workshop. Give little relax on the milage and put it in your log book. It is help you to workout fuel usage and findout any malpractice done or not. with best wishes and regards

Apart from what has been advised by S. Bhaskar, Log book should contain the details of Fuel and Oil intake, Repairs, Requisition Number vide which the Vehicle was allowed to be used, and the purpose of journey.
All the Bills of Fuel and Repairs should be entered into the Log Book and the Page Number and the Sr No. of the entry must be quoted on the Bill, befor the same is processed for payment or adjustment against advance.
Regular checks should be done to work out per liter or per km consumption of fuel/oil/repairs etc. to keep a tab on the expenditure.

The Printed Log Book will be available in local stationery shops and maintain that is easy way instead of designing in excel sheet. Practically it is not possible every day to maintain. Every day either end of the day or next day morning, the driver has to report at HR dept for verification that is the process we are maintaining in our office.

I do agree with you, But a year end review is far too long to exercise effective control. I think we must carry on doing the checks at regular interval. We even go to the extent of conduction actual efficiency of the vehicle and have a fuel audit. The best fuel saver is rewarded.
